We are seeking a highly organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will play a crucial role in ensuring the smooth operation of our office. The ideal candidate will have excellent communication skills, be proficient in various office software and systems, and have a strong attention to detail. Great People skills are a must.
Duties:
- Greet and assist visitors and patients in a professional and friendly manner
- Answer phone calls, take messages, and direct calls to the appropriate person or department
- Schedule appointments and maintain calendars for multiple staff members
- Manage incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment
- Maintain office supplies inventory by checking stock levels and placing orders as needed
- Assist with data entry, filing, scanning, and organizing documents
- Update and maintain electronic medical records using Dentrix software
- Ensure compliance with HIPAA regulations when handling sensitive patient information
- Provide administrative support to various departments as needed
Requirements:
- High school diploma or equivalent required; associate's degree preferred
- Proven experience as an office assistant or in a similar administrative role
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other office software/systems
- Familiarity with dental or medical terminology is a plus
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines
- Strong attention to detail and accuracy in data entry and record keeping
- Ability to handle confidential information with discretion
- Knowledge of phone systems and ability to handle multiple phone lines at once
- Strong verbal and written communication skills
