Job Description:
We are seeking a proactive and customer-oriented Front Desk Receptionist to join our team. The ideal candidate will be the face of our company, providing exceptional service to clients and guests while efficiently managing administrative tasks. Responsibilities:
1. Make coffee to ensure a welcoming environment for staff and guests.
2. Order office supplies as needed to maintain adequate inventory levels.
3. Water and care for office plants to uphold a pleasant atmosphere.
4. Answer phones promptly and courteously, directing calls to the appropriate person or department.
5. Greet customers and visitors with professionalism and warmth.
6. Transfer phone calls efficiently, ensuring seamless communication.
7. Receive and sort incoming mail, distributing to respective departments or individuals.
8. Respond to front desk email inquiries in a timely and professional manner.
9. Scan in checks and settlement paperwork accurately and confidentially.
10. Make necessary phone calls to clients, vendors, or other parties as directed.
11. Ensure computers are charged and in working order for staff use.
12. Assist with copying and scanning documents as needed.
13. Perform light cleaning duties in conference rooms to maintain cleanliness and order.
14. Accommodate customers' needs and inquiries to enhance their experience.
15. Create and maintain Word documents and training programs as assigned.
16. Communicate with cleaning staff to ensure office cleanliness and order necessary supplies.
17. Reserve conference rooms using the calendar system and manage appointments.
18. Maintain and update calendars, scheduling appointments as required.
19. Coordinate new and existing agent appointments with the broker.
20. Other administrative tasks and duties as assigned.
Requirements:
1. High school diploma or equivalent; additional certification in office management is a plus.
2. Proven experience in a receptionist or administrative role preferred.
3. Excellent communication and interpersonal skills.
4. Strong organizational abilities and attention to detail.
5. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
6. Ability to multitask and prioritize tasks effectively in a fast-paced environment.
7. Professional demeanor and customer service-oriented mindset.
8. Ability to work independently with minimal supervision.
9. Flexibility to adapt to changing priorities and responsibilities.
10. Potential for growth and willingness to learn and develop within the company.
Salary and Hours:
- Salary range: $17-20 per hour, commensurate with experience.
- Full-time position, Monday to Friday, 8:30 AM to 5:00 PM.
