Diaz-Christians Accountancy Corporation is Hiring an Administrative Office Assistant/ Receptionist (Part Time) Near Santa Clara, CA

ABOUT US:

Diaz-Christians Accountancy Corporation is an accounting firm which offers accounting, tax planning and tax services throughout the year. We are looking for an energetic, conscientious, and detailed individual who enjoys making a difference, being part of a team, and takes pride in their career.

JOB DESCRIPTION/RESPONSIBILITIES:

  • Perform general administrative tasks, including managing phone calls, emails, scheduling appointments, photocopying, and filing, as needed.
  • Greet and assist visitors, ensuring a professional and welcoming atmosphere in the office.
  • Handle inquiries from clients, customers, and employees providing accurate information or directing them to the appropriate solution.
  • Assist in preparation of client documentation including scanning, assembling, and generating reports using established instructions and manuals.
  • Manage and update databases, contact lists, and other relevant information in the systems. Preparing documents for clients
  • Maintaining timely and professional communication via phone and e-mail internal and external.
  • Handle incoming and outgoing mail, packages, and deliveries efficiently.
  • Collaborate in a team setting to facilitate smooth communication and workflow within the office.
  • Process and communicate with clients regarding service charges, ensuring accurate invoicing and timely billing.

REQUIREMENTS/QUALIFICATIONS:

  • High proficiency in computers and standard software packages (Office365 - Outlook)
  • Excellent communication (written and verbal)
  • Customer service (interpersonal / adaptability /patience)
  • Creative and analytical problem-solving skills/quick thinking
  • Stress management / time management /multi-tasking / organization
  • Ability to deal with difficult clients
  • Attention to detail
  • Effectively multitask various responsibilities simultaneously
  • Fluency in Spanish is a plus

EXPERIENCE:

  • Microsoft Office: 3 years (Required)
  • Customer Service: 3 years (Required)

Salary depends on skills and experience

Due to the anticipated volume of responses, we will contact only those candidates who most closely match our requirements.

Job Type: Part-time

Pay: $26.00 - $28.00 per hour

Expected hours: No more than 32 per week

Schedule:

  • 4 hour shift
  • 8 hour shift
