How You Will Make an Impact:

The Administrative Receptionist will perform administrative duties. Responsibilities include screening telephone calls; managing calendars; making travel, meeting and event arrangements. This position will provide support on tasks and activities within the Executive Administration office.


RESPONSIBILITIES/DUTIES:

  • Answer and redirect incoming calls in a courteous and professional manner
  • Where appropriate, take messages for staff and forward promptly
  • Greet and direct all visitors, including vendors, clients, employees and customers
  • Coordinate and maintain scheduling for administrative conference rooms and phone lines
  • Coordinate travel arrangements, rental car and hotel accommodations for executives and other staff members
  • Provide support to administrative staff on special projects, events and overflow work from administrative departments and executive assistants
  • Prepare and process daily outgoing certified/overnight/return receipt mail and Federal Express envelopes and packages
  • Order and maintain Administrations office supply inventory
  • Perform general clerical duties such as photocopying, filing, fax and data entry
  • Maintain a clean; safe, fully stocked and well organized work area
  • Display a positive, helpful and professional attitude
  • Adherence to attendance policies
  • Administrative duties, responsibilities, and activities may be assigned or changed from time to time


KNOWLEDGE, SKILLS, ABILITIES:

  • Ability to read, understand information and carry out oral and written directions.
  • Ability to meet schedules and timelines.
  • Ability to work in team environments and with multiple levels of personnel.
  • Ability to arrange things or actions in a certain order or pattern according to a specific rule or set of rules.
  • Ability to work in a high volume and fast-paced environment.
  • Ability to perform data entry and maintain record correctly.
  • Ability to establish and maintain positive and productive working relationships.
  • Self-sufficient, resourceful, and committed to providing excellent customer service.

MINIMUM QUALIFICATIONS:

  • High School Diploma or General Education Diploma required
  • 1-2 years of clerical and administrative experience in fast-paced office setting
  • Proficient level of skills in MS Office (Word, Excel, PowerPoint, Outlook) and other technology applications
  • Ability to lift, carry, push, pull objects weighing up to 25 pounds

PHYSICAL REQUIREMENTS:

  • Mental Demands: high workflow management and handle multiple requests, high people engagement.
  • Finger Dexterity: using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together.
  • Talking: especially where one must convey detailed or important instructions or ideas accurately, loudly, or quickly.
  • Average Hearing: able to hear average or normal conversations and receive ordinary information.
  • Average Visual Abilities: ordinary acuity necessary to prepare or inspect documents or operate office equipment.
  • Frequent multi-tasking, changing of task priorities, repetitious exacting work required.
  • Prolonged periods sitting at a desk and working on a computer.
  • Working in a moderate to high noise environment with frequent deadline pressures.
