JOB SCOPE: Performs secretarial and clerical responsibilities necessary for an efficient and effective school office that assists the Main Office and school staff in the performance of responsibilities. JOB FUNCTIONS AND RESPONSIBILITIES: Incumbents perform a variety of secretarial duties as illustrated in the following areas:
COMPUTER SKILLS: Using Microsoft Office Suite and Google (including Google docs) programs. Proofreads for content. Edits using knowledge of grammar, punctuation and spelling. This position will be responsible for student transcripts.
FILING: Organizes and maintains files (including confidential files).
CORRESPONDENCE: Composes routine letters/memoranda, etc. (e. g. standard replies and acknowledgement letters) for direct supervisor's signature.
REPORT WRITING: Compiles information from standard sources and prepares data reports from PowerSchool.
INTERPERSONAL: Acts as a receptionist, greeting visitors, answering telephone calls in a pleasant and efficient manner, takes messages, and communicating effectively in routine, sensitive, and confidential matters.
Organize and maintain an efficient office that handles a variety of tasks for the administration, faculty, students and parents of the school.
Distribute mail from main office to teacher mailboxes.
Create and maintain a clean, attractive, orderly, safe and efficient office environment.
Maintains copy machines: calls for repairs and orders supplies as needed.
Assist Main Office staff in handling interruptions and emergencies, calling for assistance when needed.
Display ethical and professional behavior in working with everyone who communicates or is associated with the office. Serve as a role model for students and staff in demonstrating positive attitudes and an effective work ethic.
Protect confidentiality or records and information about students and staff, and use discretion when sharing any such information within legal confines.
Performs related duties as assigned.
KNOWLEDGE, SKILL AND ABILITY - MINIMUM QUALIFICATIONS REQUIRED:
Possesses computer skills; knowledge of Microsoft Office Suite and a good understanding of Google programs.
Demonstrates basic knowledge of proper grammar, punctuation and spelling in order to complete business communications.
Demonstrates interpersonal skills including, but not limited to, tact and diplomacy and the ability to accurately give and receive information.
Possesses basic ability to schedule and prioritize office workflow.
Demonstrates ability to perform multiple tasks or situations simultaneously.
Possesses strong organizational skills.
Possesses a friendly, outgoing personality who enjoys working with students, their parents and a wide variety of people.
Demonstrates ability to operate office equipment which may include word processors, computer terminals, printers, copiers, fax machines or other automated equipment.
Possesses ability to take notes or willingness to learn and develop increased proficiency in the same
Demonstrates ability to respect and maintain the integrity and confidentiality of sensitive data.
Demonstrates ability to read, write, and follow detailed instructions in English.
Possesses proof of high school diploma or equivalent.
QUALIFICATIONS AND EXPERIENCE:
One (1) to two (2) year's experience in office support or secretarial work.
Demonstrates basic Google ; MS Word/Excel; and PowerSchool skills, including the ability to pass a basic level software assessment.
Demonstrates basic MS Powerpoint skills or demonstrates willingness to learn and develop basic skills in the same, including the ability to pass a basic level software assessment.
Demonstrates willingness to learn and develop basic skills in education-related software programs.
Bilingual Preferred
Terms and Conditions of Employment
The wage rate for this is a Grade 2 position, 35 hours/week, 52 weeks/year.
