DABS, INC. is Hiring an Administrative Assistant Near San Rafael, CA

The Administrative Assistant performs, coordinates and oversees administrative support work within DABS, Inc., under the supervision of the Vice President of Human Resources, with collaboration of the Regional Director. Administrative support includes the provision of varied and complex office administrative support to managerial, professional and supervisory staff or the direct coordination of specific administrative support projects and operations.
Specific Duties
    • Create/Maintain consumer files.
    • Create/Maintain charts/lists/calendars.
    • Create/Maintain "Employee Contact Cards".
    • Assemble/maintain new DABS Inc. consumer's SLS House Binders, ie. Financial Binder, Tracking Binder, Emergency Binder and Staff Binder.
    • Route employee documents to the appropriate DABS Inc. department.
    • Route incoming mail to DABS employees.
    • Perform clerical duties such as answering/screening/routing incoming phone calls, filing, printing and copying.
    • Drafting documents to be distributed.
    • Create/Distribute management meeting agendas.
    • Order supplies as needed.
    • Coordinate/Maintain DABS local office calendar.
    • Assisting with all aspects of administrative support, directory maintenance, logistics, equipment inventory and storage.
    • Managing inventory of assets and supplies, monitoring critical level of stocks, sourcing for suppliers and submitting invoices.
    • Coordinating in resolving day-to-day administrative and operational problems.
    • Work very closely with Directors and Service Coordinators to assist in creating SLS Binders and client files.
    • Knowledge of Microsoft Word, Excel and presentation computer software. Ability to send faxes and scan large files.
    • Work alongside Human Resources and the Operations Team regarding employee orientations and/or termination procedures.
    • Managing personnel and client files.
    • Performing multifaceted general office support.
    • Other administrative duties as needed.
Qualifications
    • Must have at least 2 years of related experience.
    • AA degree or 2 years of college is preferable. A minimum of a High School Diploma is required.
    • Must have a valid driver's license.
    • No criminal record.
    • Typing skills with at least 30 WPM.
    • Demonstrated ability to operate common office equipment, such as computers, fax machines, telephones, copy machines, computer monitors, printers and postage machines.
    • Must have experience with using common computer installed software, such as Word, Excel, PowerPoint and Adobe.
    • Experience working with people with disabilities and sensitivity to related disability issues is preferred.
    • High degree of discretion dealing with confidential information.
    • Must have experience with cloud-based software and utilizing the Internet. Demonstrated ability to communicate effectively with co-workers, subordinates, superiors, the general public, representatives of public and private organizations and others sufficient to exchange or convey information.
    • Demonstrated ability to take initiative and independent judgment within established policies and procedures.
    • Demonstrated ability to organize own work, coordinating projects, setting priorities, meeting deadlines and following up on assignments with a minimum of direction.
    • Must possess and demonstrate the following qualities and skills: communication skills - written and verbal, planning and organizing, prioritizing, problem assessment and problem solving, information gathering and information monitoring, attention to detail and accuracy, flexibility, adaptability, customer service orientation, teamwork.
    • Ability and willingness to work some early mornings, evenings and weekend days if and when needed.
    • Professional Working Proficiency in Spanish and/or Tagalog preferred.
$18 - $25 an hour
