JOB TITLE: Office Assistant
DEPARTMENT: Office
REPORTS TO: Management Team
FLSA STATUS/EXEMPTION: Non-Exempt
MISSION OF THE POSITION
The Office Assistant provides secretarial, administrative, and business management support through managing and overseeing the daily operations of the office. This is achieved by helping/assisting with records maintenance, document preparation, mail distribution, reception, and other related internal operations. This position takes part in creating and maintaining a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.
ESSENTIAL DUTIES
The following list of activities will be performed under the supervision of the management team. This position has no direct responsibility or authority to make decisions on matters of significance without the approval of the management team.
1. Answer, screen and manage incoming calls and receive and interact with incoming visitors/ clients.
2. Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail.
3. Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers.
4. Type, format, proofread, and edit correspondence and other documents.
5. Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.
6. Communicate with customers, employees, and other individuals to answer questions, disseminate information, take orders, and address complaints.
7. Compile, copy, sort, and file records of office activities, business transactions, and other activities.
8. Arrange and coordinate executive leadership team meetings and company events
9. Ability to liaise with internal staff, customers, clients, and vendors at all levels.
10. Complete and mail bills, contracts, policies, invoices, checks, account statements, and other financial statements.
11. Monitor inventory levels and requisition or purchase supplies as needed.
12. Research, compile, and prepare reports, manuals, correspondence, or other information required by management or governmental agencies.
13. Prepare and/or edit correspondence, communications, presentations, and spreadsheets.
14. Coordinate travel arrangements including travel itineraries, agendas, advances, expense reports, submission of check requests, etc.
15. Maintain records pertaining to inventory, personnel, orders, supplies, or machine maintenance.
16. Coordinate the delivery of office services such as office equipment, purchasing, and facilities maintenance that meet the needs of the organization.
ADDITIONAL RESPONSIBILITIES
17. Participates as an active member of the Team to grow Cycat from a startup.
18. Assist in handling confidential and/or sensitive HR related documents.
19. Plan for or coordinate office services, such as equipment or supply acquisition or organization, disposal of assets, relocation, parking, maintenance, or security services.
20. Provide ongoing support to the laboratory staff by assisting with various tasks as trained and in accordance with laboratory safety guidelines and standard operating procedures.
21. Comply with federal, state, and company policies, procedures, and regulations.
22. Perform additional duties as assigned.
EDUCATION
High school diploma or general education degree (GED) required
Bachelor's degree in Business Administrative or related field preferred but not required
EXPERIENCE
Minimum of 1 years of experience as an Office Assistant or similar position
Basic understanding of Finance and Accounting principles
Proficient with Microsoft Office Applications
Ability to multitask and organize special projects
