Description

Project Coordinator /Project Controls

Job Description

The Project Coordinator is responsible for ensuring the schedule, budget and details of a given task are well organized. This role communicates with various departments to keep everyone informed about any changes to the project plan. In addition, the Project Coordinator organizes invoicing, reporting, plans meetings, organizes electronic filing systems and provides updates to client managers, program directors and project managers. This shall also include the role of Program Controls and Project Controls.

Essential Duties and Responsibilities

  • Provides project-related analysis and review support to program, project, and technical staff.
  • Assist the project manager in the development of project management documents such as project budgets, project schedules, scope statements and project plans
  • Monitor project progress and create project status reports for project managers and stakeholders
  • Assisting with resource scheduling so that team members have the resources they need to complete their tasks
  • Scheduling stakeholder meetings and facilitating communication between the project manager and stakeholders throughout the project life cycle
  • Meeting with project clients to assess their needs and define project requirements, acceptance criteria and project timelines
  • Be available to serve as a liaison between the project team and project clients throughout the project life cycle
  • Managing project management documents such as the project plan, budget, schedule or scope statement, as directed by the program director or project manager
  • Execute a variety of project management administrative tasks such as managing invoices, purchase orders, billing and bookkeeping among other financial documents
  • Support team members when implementing risk management strategies
  • Reports project risks and outcomes to appropriate management channels, and escalate issues according to project work plan
  • Achieve organizational goals while adhering to standards and best practices
  • Other duties as assigned

Minimum Qualifications

Education/Experience: High School diploma or GED with 7 years of relevant experience OR Bachelor’s Degree with 1 year of relevant experience OR Associate’s Degree with 4 years of relevant experience

Preferred Qualifications

Education: Bachelor’s degree (or equivalent) in relevant field OR 5 years of relevant experience

Core Competencies

  • Excellent verbal and written communication skills are essential to work closely with team members and managers, and effectively manage problems as they occur.
  • Budgets and other important documents for companies are usually created on computers and sometimes maintained in databases.
  • Ability to adapt to changes implemented by the client.
  • Organizational skills such as time management, delegation, planning, goal setting and decision making.
  • Ability to work effectively both independently and as part of a team.

Technical Skills

  • Competency in Microsoft applications including Word, Excel, Teams and Outlook.
  • Experience with project management software preferred, but not required.
  • Knowledge of file management, transcription, and other administrative procedures.
