The American Heart Association (AHA) has an excellent opportunity for a Project Coordinator, Science Meetings & Events at our National Center office located in Dallas, TX .

(This is a part-time (29hr per week) temporary role. Current end date set for 6/30/24 with possibility to extend)

Responsibilities

  • Provide project coordination and administrative assistance to the Meetings and Events Team.
  • Responsible for operational budget and expense processing, record keeping or other administrative duties.
  • Provides coworkers and vendors with excellent customer service responding to requests in a timely manner and adhering to deadlines as appropriate.
  • Processes and supervises contracts, invoices, and payments
  • Manage various timelines and due dates for printed conference materials and program brochures in development.
  • Initiate purchase orders, payment of invoices, and check requisitions in the financial system
  • Coordinate and supervise project timelines while optimally presenting project needs and related information as require
  • Connect with team to coordinate and manage assigned projects/events.
  • May assist with developing marketing efforts which may include updating on-line content, distribution of marketing materials, or communication to vendors/contractors/volunteers
  • Utilize vendor and/or American Heart Association systems (e.g. E1, COI, Seibel, Oasis, etc.) efficiently and competently to complete duties/projects.
  • Performs other duties as the need arises or assigned which are reasonably within the scope and responsibility of the job level and family.

Qualifications

  • High School Diploma or GED.
  • Two (2) or more years of experience in meeting planning or in a related administration role.
  • Proficient knowledge of Microsoft Word, Outlook, Adobe and Excel.
  • Ability to provide excellent customer service to internal/external customers and volunteers.
  • Experience and/or knowledge of financial systems (E-1, COI, Seibel, etc.
  • Proven ability to effectively prioritize work assignments, manage/monitor multiple projects, and meet multiple deadlines.
  • Ability to operate in high pressure environment and function independently with minimal supervision.
  • Strong organizational skills with ability to initiate projects and be pro-active; attention to detail; provide follow-through and devise alternative solutions as necessary.
