Administrative Assistant - Crossnore’s Center for Trauma Resilient Communities (CTRC)
Location: Remote (within EST time zone required) and willingness to travel occasionally to agency locations. Preference for candidates within driving distance of one of the following CTRC worksites: Louisville, KY; Metro New York, Winston-Salem, NC. 
Job Summary: The administrative assistant will support the CTRC team through various clerical and administrative functions, increasing efficiency and productivity in a fast-paced work environment. This position will aid in creating and managing schedules, communicating with internal and external partners, and maintaining effective workflow throughout CTRC. The Administrative Assistant will also take on other duties regularly associated with office management, including e-filing, scanning, creating memos and reports, and performing other clerical duties in support of the overall success of CTRC operational functions and its team members. In addition, a portion of this position will be allocated directly for the administrative support of the Executive Director. 
Hiring Range: $39,000 to $44,000 annuallyPre-Hire Requirements:
  • Must successfully complete extensive background checks, interviews, and pre-hire drug screen.

JOB INFORMATION 
REPORTS TO: Senior Manager of Operations
STATUS: Full Time, Exempt
QUALIFICATIONS
Education/Experience
  • High school diploma or GED required; Associates degree and/or education in business administration preferred. 
  • 2 years of full-time experience required in administrative and operational functions, including general office tasks, calendar scheduling, and record keeping, with knowledge of finance and task management.
  • Experience with social services organizations, schools, or medical fields preferred. 
  • An equivalent combination of education and experience may be considered.

  • Demonstrated ability to plan and manage high-level administrative support efficiently and productively solely using a variety of management platforms, including Google Suits and Monday.com. 
  • Displays enthusiasm and confidence in taking on tasks and challenges.
  • Proactively anticipates needs and offers solutions to meet needs.
  • Excellent interpersonal and communication skills, including superior presentation and written communication abilities in a remote team environment
  • Ability to quickly establish and maintain effective working relationships with remote coworkers and partnerships.
  • Excellent organizational and time management skills, with the ability to perform multiple tasks simultaneously and efficiently and the flexibility to adapt quickly to changes.
  • Demonstrated ability to exercise discretion and independent judgment.
  • Ability to work on diverse remote teams and must be flexible and willing to work with coworkers/clients of all ages, races, nationalities, sexual orientations, gender identities, disabilities, and backgrounds.
  • Proficiency in keeping meeting minutes, capturing tasks and deliverables, and assisting with monitoring task management. 
  • Ability to exercise compassion and sensitivity, and to maintain confidentiality of client and organizational information
  • Valid driver’s license, and must be willing to travel occasionally to various job-related locations.

JOB DUTIES & RESPONSIBILITIES
  • Provide assistance to team members by scheduling meetings, preparing for scheduled facilitation, tracking deliverables, and assisting with follow-up tasks for contract partnerships.
  • Actively support the Executive Director with their administrative needs. 
  • Assisting with the preparation of email correspondence, memos, meeting notes, agendas, and other written materials. 
  • Receive and respond to electronic and telephonic communications, forwarding to different staff and departments as needed.
  • Organize meetings, scheduling, events, and special programs.
  • Perform clerical duties, such as electronic filing, scanning, organizing, etc. 
  • Provides administrative support in drafting partnership contracts and proposals, as well as formatting for submission.
  • Assist with travel logistics, including preparing agendas, reports, and reminders and making arrangements for catering, space, equipment, and supplies.
  • ​​Attend meetings, as requested, to record minutes and compile and distribute them promptly.
  • Develop and manage training calendars, etc. 
  • Ensure consistent and accurate data collection and input into various systems, as well as ongoing clean-up and review to support data analysis reporting.
  • Provide clear and useful feedback on data internally and externally.
  • Provides a high level of customer service to both internal and external partners.
  • Perform other duties as assigned.
DAYS/HOURS OF POSITION and WORK CONDITIONS:  
Typical hours are Monday through Friday, 9:00 AM—5:00 PM, with some weekend/evening hours depending upon events/program needs. Remote work and flexibility are required to travel occasionally for necessary team events and/or in-person meetings.
PHYSICAL DEMANDS - Light
Position may require lifting to 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. Frequent walking, standing, and sitting. Frequent reaching and/or grasping using hands and/or arms. May be required to ascend/descend stairs. Frequent use of hands requiring dexterity in using the telephone, computer keyboard, or other objects. Visual ability including distance, peripheral and depth perception. Ability to drive. Regularly required to talk and hear.
