Summary:
POSITION SUMMARY
Under minimal supervision, the UM/CDI Administrative Assistant supports UM/CDI Department and demonstrates excellent customer service performance in that her/his attitude and actions are always consistent with the standards contained in the Vision, Mission, and Values of Covenant HealthCare and the commitment to Extraordinary Care for Every Generation.
This position will provide administrative support the Utilization Management and Clinical Documentation Improvement Department including the UM/CDI Director, Physician Advisor, UM Coordinator, and staff, to assure efficient processes as well as complete, accurate, and organized documentation of departmental administrative functions. The UM Administrative Assistant will work closely and coordinate with the UM Technician to ensure certain assigned UM tasks are completed in a timely manner.
Responsibilities:
Answers and monitors phone calls received through the dedicated UM/CDI phone line.
Monitors faxes received in the dedicated UM fax line.
Retrieves and distributes departmental mail from the mail room
Prepares, types, and maintains confidential records and correspondence
Forwards emails from Financial Advisors to appropriate UM Staff
Calls-in surgical admissions to HAP daily
Fax daily report/census to PHP/Lumeris and daily OB Report to payers
Orders office supplies and creates work tickets as needed
Sets up schedule for Physician Advisors for Peer-to-peer w/ payors
Scans MPRO letters and responsible for mailing letters to MPRO
Scans all denial letters and other documents into patients' records in EPIC
Emails daily attendance schedule to UM/CDI staff
Payroll maintenance (for final approval by Manager)
Sets schedules for UM/CDI meetings, staff education
Assists with on-boarding of new staff: obtaining ID badge, processing access requests, scheduling orientation
Checks refrigerator temp daily and cleans refrigerator every Friday
Works with the UM Tech on maintaining the UM Schedule log
Assists UM/CDI Manager, as needed with other responsibilities

EDUCATION/EXPERIENCE REQUIREMENTS
High school diploma required; Graduate of a two-year degree preferred or associate degree in secretarial field. Experience in medical secretarial work required. Experience with Windows and Microsoft office strongly required. Experience in the use of office machines such as computers, fax, copiers.
KNOWLEDGE/SKILLS/ABILITIES
Excellent customer service skills
Knowledge of basic medical terminology.
Knowledge and expertise in the use of record and data management tools such as Word, Excel, Access, and other software applications
Familiarity with formatting spreadsheets, meeting minutes, files & folders.
Skill in establishing and maintaining a cooperative and “team” oriented working relationship with others
Highly effective communication skills
Ability to be flexible and work within strict time frames or deadlines
Excellent organizational and time management skills, and ability to prioritize work
