Job Title: Registrar

Supervisors: Head of School

Hours: Monday-Friday, 9:00 a.m. – 5:00 p.m.

Status: Exempt

Term: 12 Months

Summary of Duties and Responsibilities:

At the request of the Head of School the Registrar assists students, faculty, staff, and alumni with a variety of academic services in managing the enrollment process and maintaining student records, student registration, transcripts, verifications, course scheduling, and other duties as assigned. In addition, the Registrar works closely with the Chief Finance officer to maintain files in accordance with the Cooke Record Retention Policy.

Responsibilities of the role include, but are not limited to:

  • Oversight of student enrolment processes for the ten month school year and summer sessions. Complete necessary documentation, procurement of records, and all matters relating to the enrollment of new students. Work with new families to disseminate payment plans, as determined by the CFO and deliver contracts.
  • Oversight and implementation of the re-enrollment process for attending students. Ensure compliance from families to provide timely and accurate information relating to re-enrollment.
  • Issue contracts authorized by the CFO and to ensure that the CFO has accurate enrollment information.
  • Maintains student cumulative folders, which include progress reports, Individualized Education Plans, related documents, and constructing student transcripts as needed.
  • Maintains complete, accurate and current student census data.
  • Provides support services to Head of School and Associate Heads of school in preparation of master schedule. This may include organization and coordination activities, computer input, and generating schedules.
  • Provides clerical assistance as required, which may include compiling/typing lists, taking/typing/distributing meeting minutes, assisting with preparation of course descriptions, etc.
  • Performs other duties as assigned.

Education and Prior Experience

  • Bachelor’s Degree in related field
  • Advanced office training and/or experience; recent responsible office work experience involving record keeping; experience/training in database management.
  • Ability to maintain and prepare accurate and complete records and reports.
  • Human relations skills that promote positive feelings with students, parents, staff and public.
  • Ability to maintain confidentiality.

General Computer Skills:

  • Functional familiarity with MacOS and Windows operating systems, Google Workspace and Office Suite, Microsoft Teams, Zoom and other remote access tools.
  • Working knowledge of database CRM systems, preferably Axiom Veracross and Salesforce.

Professional Development

All Cooke staff are responsible for developing a professional growth plan with their supervisor. Staff training is an integral part of the Cooke School and as such is a requirement of the job. All staff must at a minimum: attend all scheduled Staff Development activities throughout the year and participate in staff orientation scheduled for the last week in August.
