Position Title: Office Assistant

Location: 9250 Cherry Ln, Nampa, ID 83687

Position Summary:

The Office Assistant is responsible for supporting the daily administrative functions of the Nampa office. This position is responsible for general admin/receptionist duties, assisting management with general ad-hoc administrative duties. Strong organizational and relationship building skills necessary.

Key Responsibilities:

  • Primary point of administrative contact on matters concerning the office
  • Provide excellent customer service to internal and external customers.
  • Positive, “Can do” attitude and ability to multi-task, meet deadline and work independently and as a team
  • Assist with entering in BOL's for Tankwagons
  • Provide general administrative work, scheduling, distribution of mail, coordination of meetings and assisting management with general ad-hoc administrative duties.
  • Ensure during office hours there is reception coverage to receive, greet, and assist walk-in and telephone customers in an efficient, tactful, and courteous manner then inform the appropriate individual of their arrival. Take/forward messages and screen calls as necessary
  • Backup of clerical and general office duties, word processing, record and files maintenance, couriers, mail distribution, and telephone reception
  • Maintain kitchen and stationary stock
  • Assist members of the office staff with various day to day administrative functions and as assigned
  • Performs other light office duties as needed, including traveling to pick up supplies, lunch for guests/meetings, and collecting mail at post office, etc.
  • Maintains confidentiality of Company, employee, client and customer information, sharing information on a need to know or right to know basis.
  • Communicate and enforce all safety and security issues. Report and process all employee and/or customer incidents or unsafe acts in accordance with Parkland’s policy and procedure.

  • Employee is expected to set priorities, time manage, and meet deadlines. Employee is responsible for planning and carrying out assignments, resolving conflicts that arise, informing and coordinating with others as expected. Employee is accountable for ensuring the technical accuracy of their work and maintaining good working relations, both internal and external to Parkland. Self-direction and motivation are also expected.
  • Must meet performance expectations and complete all duties as assigned. Enthusiastic, pragmatic, and committed to getting the job done in a fast paced, high-performing environment. Willing to "roll up sleeves" and focus on execution and meeting challenging targets as needed.

Qualifications and Skills:

  • High School diploma or GED.
  • Minimum 1-2 years’ experience in related field
  • Must possess strong analytical skills
  • Excellent customer service skills
  • Proficiency in Microsoft Office applications
  • Proficient verbal and written communication skills
  • Proficient problem solving and analytical skills
  • Attention to detail and high level of accuracy
  • Ability to work independently
  • Proficient organizational skills

Special Requirements:

  • The physical ability to immediately respond to emergency situations.
  • Must possess a valid Driver's License

Physical Demands:

  • Light Duty - lifting 20 lbs. maximum with frequent lifting and/or carrying of objects weighing up to 10 lbs.
  • In an 8 hour day, the position may include 1-4 hours standing/walking, 6-8 hours sitting, and occasional driving.
  • Position will include simple grasping, fine manipulation, pushing & pulling, finger dexterity, and foot movement. There may be some exposure to noise typically experienced in an office environment.
