Position Summary: The Administrative Assistant is responsible for supporting the daily administrative functions of the ROC General Manager (GM) as well as other ROC Leaders. This position is responsible for preparing reports, gathering information and providing data to the GM and performs a wide variety of difficult, sensitive and confidential administrative support functions; may provide work for other management staff and related duties as assigned.

Key Responsibilities:

  • Make extensive travel arrangements (domestic and international) and prepares expense reports, including but not limited to coordinate and complete travel preparation and accommodations; compile itineraries for trips and meetings as needed.
    Provide support for departmental events, quarterly events, and recognition as well as coordinating activities across the organization, events, face to face meetings, etc.
  • Exercise diplomacy, tact, and judgment in interacting with a wide range of constituents at varying levels of an organization including staff at all levels.
  • Keep abreast of all organizational changes and business developments and maintains in-depth understanding of office management procedures and departmental and legal policies.
  • Demonstrate strong accuracy and attention to detail while taking the initiative to manage logistics of the department/division such as maintaining divisional organizational charts, and divisional logistics needs.
  • Work closely with ROC and Parkland USA Leaders, demonstrates strong verbal/written communication skills and works well on a team.
  • Demonstrate strong customer service orientation and uses discretion and judgment to ensure applicable private/proprietary business information, data, transactions, and correspondence maintain confidentiality and sound judgement.
  • Receive, interpret, and evaluate the level of significance of information requests, takes appropriate responsive action, and determines when the GM or other staff should be notified or involved.
  • In the executive's absence, ensures that requests for action or information are distributed to the appropriate staff member.
  • Assist in resolving administrative needs for improvement/problems by coordinating preparation of reports, analyzing data, and identifying solutions working closely with management and human resources.

  • Interpret program guidelines, practices, and requirements to perform specialized administrative support functions.
  • Provide general administrative work; distribution of mail, calendar scheduling/maintenance, meeting coordination, expense reporting and travel coordination for the ROC GM and other ROC Leaders.
  • Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to workstations.
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Maintain well-organized filing system (both paper and electronic), and ensure documents are maintained in a secure location.
  • Communicate and enforce all safety and security issues. Report and process all employee and/or customer incidents or unsafe acts in accordance with Parkland USA’s policy and procedure.

  • Employee is expected to set priorities and meet deadlines. Employee is responsible for planning and carrying out assignments, resolving conflicts that arise, informing and coordinating with others as expected. Employee is accountable for ensuring the technical accuracy of their work and maintaining good working relations, both internal and external to Parkland USA. Self-direction and motivation are also expected.
  • Maintains office schedule by picking-up and delivering items using automobile.
  • Willingness to travel as needed by the ROC GM
  • Must meet performance expectations and complete all duties as assigned.

Qualification and Skills:

  • Associate degree (A.A) or equivalent from two-year college or technical school; or three to five years related experience and/or training; or equivalent combination of education and experience
  • Proven skills in business and financial management
  • Excellent verbal and written communication skills
  • Valid Driver’s license with clean driving record
  • Proficient with all Microsoft 365 tools including Office, SharePoint Online, Teams, Parkland reporting tools, purchasing, and finance systems.
  • Highly effective interpersonal and communication skills
  • Analytical and conceptual thinking–using logic and reason, creative and strategic
  • Strong organizational skills–must be task oriented and be able to deal promptly with detailed problems
  • Ability to collaborate with others within a corporate structure (e.g. finance, legal, human resources, etc.)
  • Ability to work independently with minimal supervision and excel at meeting tight deadlines and time management
  • Ability to manage multiple projects in fast-paced, results-based team environment
