Confidential is Hiring a Director of Clinical Operations Near Fort Lauderdale, FL

The Director of Clinic Operations will be responsible for providing and contributing to the company’s mission, vision, and values by planning, developing, organizing, and implementing the day-to-day function of the facility, its programs, and activities to ensure efficiency, compliance, and patient satisfaction.

Key Responsibilities:

  • Oversee the daily workflow of the Practice Managers, Front Desk Supervisors and Staff, Medical Assistants, and Prior Authorization Specialists.
  • Manage staffing to ensure optimal operation of the practice. Maintain appropriate staff-to-patient ratios.
  • Monitor Practice Manager schedules and PTO requests.
  • Direct Practice Managers regarding maintenance of office equipment including cleaning, maintenance, and repairs.
  • Maintain vendor records and contracts for facility and store on SharePoint.
  • Ensure that end-of-day reports and end-of-week reports are completed for each office promptly.
  • Create and review Key Performance Indicators (KPI) for front desk staff.
  • Oversee and review front desk management of petty cash funds.
  • Manage orders and inventory for each office.
  • Collaborate with Human Resources on interviews, hiring, and training of new staff in accordance with HR guidelines.
  • Work with HR and Practice Managers on disciplinary action, coaching, counseling, and termination of employees in accordance with company policies.
  • Develop Key Performance Indicators (KPI) for each direct report and for their respective departments.
  • Develop and implement procedures to improve productivity and efficiency as needed to achieve KPIs.
  • Track licensure requirements for Medical Assistants.
  • Create Standard Operating Procedures for each department as needed.
  • Collaborate with HR to evaluate the performance of the team, and conduct verbal and written performance evaluations after 90 days, and annually for direct reports as specified.
  • Address issues raised by Practice Managers and seek out appropriate leaders or partners to solve problems and improve processes.
  • Conduct regular weekly meetings with Practice Managers, keep minutes and upload them to SharePoint file, and provide updates to the Vice President of Clinical Operations.
  • Interact with patients as needed to resolve complaints in accordance with organizational mission, vision, values, policies, and procedures.
  • Work with Finance to develop a budget and ensure compliance in all satellite offices.
  • Collaborate with leadership to develop business strategies and patient services.
  • Partner with Managers of all offices and departments to implement policies and procedures that align for continuity.
  • Perform other related duties as assigned.

Experience:

  • 5 years' experience in Medical Office Management, Healthcare Management or experience as a Practice Administrator.
  • Leadership or management experience in physician practice is highly preferred.
  • Working knowledge of medical terminology is required.
  • Medical office billing experience is an asset.
  • Proficiency with EMR systems and software applications, including Microsoft Office Suite.
  • Proven ability to contribute to the growth and success of a rapidly growing organization.
  • Excellent written and oral communication skills.
  • Excellent organizational skills and attention to detail.
  • Extensive knowledge of Office/Practice Management procedures.
  • Excellent interpersonal and customer service skills.
  • Excellent time management skills with a proven ability to meet deadlines.

Job Type: Full-time

Pay: $85,000.00 - $125,000.00 per year
