Client Service Representative
Looking for an experienced new team player in our Client Service Department as our company continues to expand.
Duties and Responsibilities:
- Assist Architectural Department with processing of Architectural requests
- Assist Client Service team in their administrative responsibilities
- Responsible to assist Community Managers in creating and distributing:
* Newsletters and directories
* General correspondence
* Annual and board meeting notices
* General mailings
- Handle incoming phone calls
- Check voice mail and return all calls by end of work day
- Check e-mail and return e-mails as needed
- Daily contact with homeowners and Board of Directors
- Reserving meeting locations such as schools or libraries, etc.
- Attend Annual Meetings when requested
- Research information for homeowners and managers.
- Produce Work Orders and Service Requests
- Distribute pool keys, pool passes, and parking passes
- Maintain clubhouse reservations and rentals, including handling of payments for rental and refunds of security deposits
- Assist with violation letters from inspection forms for Community Managers review and signature
- Type memos, correspondence or other documents prepared by manager
- Update change of addresses and return mail, prepare to re-mail
- Assist Community Managers with filing
- Application and use of Microsoft Windows programs (Word, Excel, Outlook)
- Other responsibilities include:
* Heavy computer work
* Maintaining accurate files
* Copies
* Faxes
