JOB SUMMARY: The Energy Savings Assistance Program Administrative Assistant provides professional administrative duties and general staff support to the Energy Savings Assistance Program.

Administrative Duties

  • Completes filing for program enrollments and related paperwork
  • Performs other department-specific duties as assigned
  • Answer and direct all phone calls
  • Respond to emails promptly
  • Greet all office guests
  • Manage, clean and organize the front desk
  • Schedule meetings, client visits and company events
  • Stock the Energy Specialist collateral
  • Organize boxes for incoming collateral for programs/reception area and warehouse
  • Provide Administrative support to the Management Team
  • Download and code all relevant invoices, including Home Depot and Lowes
  • Reconcile all expense reports for the Management Team

Candidate Qualifications:

Experience: High school diploma or equivalent and a minimum of two to three years of experience in Office Administration.

  • Strong oral and written communication skills required to interact with a variety of people, including colleagues, clients, vendors, consultants, contractors, etc.
  • Superior organizational skills and attention to detail
  • Ability to meet deadlines, prioritize and work well under pressure, including performing tasks in a timely manner and managing multiple projects successfully through ongoing changing priorities
  • Ability to work independently and autonomously.
  • Bilingual language skills a plus
  • Computer literate, with knowledge of and experience working with Microsoft Office Suite, WordPerfect, Internet, PDF, and other computer software.
  • Perform word processing and/or data entry skills
  • Ability to resolve issues as they pertain to office equipment (copier, fax machine, etc.)
