Community Action Marin is seeking a talented and highly-skilled Executive Assistant to join our executive team. In this pivotal role, you will provide strategic project management and administrative support, directly enabling our agency's equity-driven initiatives and mission.
Job Summary: The Executive Assistant is a mid-level support and project management role that works in close partnership with Community Action Marin’s C-Suite to move forward key agency priorities and initiatives. Supporting the Chief Strategy Officer and Chief Operating Officer directly, responsibilities will include project management, data analysis, internal and external written communication, advocacy efforts and engagement in cross agency initiatives. This is a new and exciting role for a proven, highly-skilled Executive Assistant that has a growth mindset, detail orientation, and interest in working closely with agency leadership on strategic projects and priorities.
Primary Responsibilities:
Cross Agency Initiatives
Provide support on high level projects as outlined by Chief Strategy Officer and Chief Operating Officer – ensuring cross agency coordination to achieve deliverables and outcomes.
Draft project workplans and flow charts, managing follow-up on key deliverables.
Take a leadership role in cross agency initiatives that contribute to CAM’s Equity and Wellbeing Roadmap, to include Agency Onboarding and follow up.
Utilize and maintain centralized systems (such as Raiser’s Edge and ClickUp) for relationship and project management.
Data Utilization
Partner with the Learning & Evaluation Team (LE) team to identify and integrate data into project planning, monitoring and reporting as well as communications.
Contribute to agency dashboard with regular tracking and reporting of key indicators to reflect assigned projects.
Research external sources for data to inform program and advocacy decisions on strategic targets and priority issues.
Communication
Draft internal and external communications for the Executive Team to support clarity and projects being completed on time and scope.
Coordinate with Communications team to assess effectiveness and shared understanding of agency communications.
Contribute to agency communications to promote shared understanding.
Advocacy
Prepare correspondence on agency priorities, including letters on key policy issues, written and verbal testimony, and action alerts.
Manage joint action with partner agencies and coordinate sign-on letters of support.
Track status of policy agenda and provide updates on action items.
Maintain agency advocacy log and other tracking mechanisms of key actions, partners, and compile related reports.
Provide staff support to the agency Advocacy Team, assisting in agenda development, coordination, and management of deliverables.
Administrative Support
Schedule and support key meetings involving or hosted by members of the Executive Team
Back-up Operations Coordinator as contact person for main office building management and janitorial service and setting up workspaces and offices for new employees at all sites located within Marin County
Coordinate as needed with the Operations Coordinator to ensure efficiencies and shared knowledge of administrative systems, staff needs, and requirements.
Perform other duties as requested or as responsibilities dictate.
