Job Duties
The VDOE Superintendent's Office is seeking qualified individuals to provide administrative support to the Superintendent of Public Instruction and the Chief of Staff. Responsibilities for this position includes: scheduling and logistics support for the Superintendent of Public Instruction; travel and paperwork support; providing briefings regarding upcoming engagements and events; reporting and tracking educator engagement; supporting the Executive Director of Education Partnership with coordination of projects and events; supporting communications of the Superintendent, and any needed procurement.
Minimum Qualifications
• Knowledge of guidelines governing essential office practices and procedures.
• Considerable knowledge of advanced clerical skills and office procedures.
• Proficiency in calendar management software, email platforms, and other relevant office tools.
• Working knowledge of personal computers and current office software including word processing, spreadsheets, and database packages.
• Ability to manage and prioritize multiple tasks simultaneously and effectively; excellent telephone manners; ability to maintain an even disposition and to cope with various personality types, including irate constituents, in a pleasant manner; good command of English and grammar; ability and willingness to assist co-workers.
• Abilities to successfully perform the work including: proofreading and editing; communication skills; able to independently manage a wide variety of assignments by organizing, prioritizing, and regulating incoming work; skills in keyboarding.
• Demonstrated ability to research, collect, organize and format data and information for reports.
• Ability to establish a good work relationship with a large group of professional staff members.
• Exceptional organizational skills and attention to detail.
• Strong communication and interpersonal abilities, with the capacity to work collaboratively in a fast-paced environment.
• Demonstrated ability to handle sensitive information with utmost confidentiality and discretion and handle multiple task/projects at once.
Additional Considerations
• Minimum high school diploma.
• Additional coursework, credentials, degree, or equivalent experience working in a professional environment preferred.
• Experience as administrative/secretarial assistant to senior-level management.
• Experience working in a professional office environment where confidentiality and security of information is necessary and significant is preferred.
• Experience in providing customer service/technical assistance and interacting professionally with agency personnel, state officials, school division personnel, and the general public is preferred.
