Who you are

As the Operations Coordinator, you will work closely with the Regional Operations Manager to oversee the effective running of the office operations. You will also provide proactive and professional general office administrative support to the Operations team. You will use your resilience and a proactive approach to any project that you tackle.

What you bring

  • 3-5 years of progressive administrative or operations/office services experience in a similar role.
  • Excellent written and oral communication skills.
  • Strong interpersonal skills
  • Excellent organizational skills.
  • Demonstrated experience with managing multiple projects simultaneously.
  • Ability to multi-task and prioritize workload in a fast-paced environment.
  • Ability to communicate and collaborate at all levels of the organization.
  • Strong critical thinking skills, a methodical approach to problem solving, excellent skills at executing plans.
  • Demonstrated experience taking initiative and exercising good judgment and attention to detail.
  • Client service oriented (both internal and external)
  • Proficient in Microsoft Office Suite (MS Outlook, MS Word, MS Excel).

Bonus skills and experience

  • Knowledge of SharePoint and Social Media tools
  • Commercial Real Estate experience

What success looks like

  • You will provide administrative support to the Regional Operations Managers including calendar management, developing and editing presentations, printing, filing purchasing and other tasks as assigned.
  • You will support local office events. (i.e. ordering food, tables, chairs, etc. for the event and possibly attending).
  • You will coordinate communications, schedules, and information flow between departments.
  • You will contribute and participate in the development of new operational systems and processes and assist with change management activities.
  • You will manage and monitor the inventory of office and kitchen supplies.
  • You will assist with reception coverage and associated duties when needed.
  • You will plan and coordinate meetings, organize large and complex activities such as cross-functional events, and schedule conferences and office activities.
  • Develop meeting agendas, take and distribute minutes and track action items.
  • Assist with various operational reporting requirements.
  • Manage domestic and international travel plans for the Operations Manager and extended team (if needed).
  • Prepare expense reports and credit card reconciliations, while keeping the team updated on travel and corporate policies.
  • Prepare monthly Operations presentation slides.
  • Organize and maintain online document libraries.

Approximate Hourly Range for this Role: $23.00/hour to $38.00/hour

Our hourly ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
