CIVITAS RESOURCES INC is Hiring an Executive Assistant Near Denver, CO

 

Summary of Position:

The Executive Assistant will provide executive-level administrative support to multiple assigned Chief Officers within the operations department. This position will require a detailed knowledge of executive level management, corporate, department and general business operations. The Executive Assistant exercises independent judgment and employs advanced reasoning and project management skills, as well as makes independent decisions regarding planning, organizing and scheduling work within established guidelines. This position requires complete confidentiality, sharing job content and specifics only with the departments supported and, when appropriate, other members of senior management.

Primary Job Responsibilities:

  • Relieves the executive and their departments of administrative functions in order to increase their time available for operations/management level responsibilities.
  • Answers phones, proactively screens calls and takes messages.
  • Manages all assigned executive and team member schedules and calendars by planning and scheduling meetings, conferences and teleconferences; proactively reminds executives of scheduled events/meetings.
  • Manages sensitive and confidential interactions between senior executives and key constituents, including board members.
  • Acts as liaison between visitors and department executives.
  • Conserves executives’ time by reading, researching and routing correspondence; drafting letters; collecting and analyzing information; initiating telecommunications.
  • Coordinates meetings and ensures the necessary facilities and equipment are reserved and set up.
  • Makes travel arrangements and creates itineraries.
  • Assists with the prioritization of the executives’ daily activities, and coordinates schedules with other administrative assistants.
  • Create/complete monthly credit card allocations and expense reports.
  • Composes, proofreads and edits memos, letters and emails.
  • Performs data-entry, copying, faxing, printing, binding, mail distribution and supply ordering as needed for the executives’ departments.
  • Facilitates with the signing of contracts and other important documents, creates and maintains appropriate files.
  • Assists with/creates audio/visual presentations and assembles presentations for distribution.

Knowledge/Skills/Competencies

  • Excellent interpersonal and written communication, and organizational skills.
  • Ability to meet deadlines and advance multiple projects concurrently.
  • Strong organizational and multitasking skills as well as attention to detail. 
  • Ability to handle sensitive information with confidentiality.
  • Ability to work within a team environment and support multiple people.

Education & Experience:

  • High School Diploma required; Bachelor’s Degree in Business Administration or related field of study preferred.
  • At least 6 years of prior advanced experience as an Administrative Assistant required and/or prior support of an Executive or C-Level Officer preferred.
  • Prior oil and gas experience a plus.
  • Strong computer software skills with MS Office required.

Travel Requirements:

  • Work is performed at a CIVI location Tues-Thurs with an option to work remotely on Mondays and Fridays.
  • Schedule: traditional 40-hour workweek or alternative schedule of 9 hour works days M-Thurs and 4-hour workdays Friday.
  • Travel required to the Civitas field locations.
