Civil Design Consultants, Inc. is Hiring an Administrative Assistant Near Andover, MA

Civil Design Consultants, Inc. (CDCI) is a professional civil engineering company located at 344 North Main Street in Andover, Massachusetts - conveniently located off I-495. We provide aerial (drone) surveying, land planning, design, and permitting services to the real estate development community throughout the Merrimack Valley and Southern New Hampshire. We are also committed to maintaining an excellent working environment.

CDCI has a new opening for an experienced Administrative Assistant. This role works directly with our Office Manager to support daily administrative functions between our two offices located in Andover, MA and Plaistow, NH. This is a part-time position (minimum of 20 hours/week) with flexible schedule options. The opportunity to transition into a full-time position, with benefits, is available for the right candidate.

Primary Responsibilities:

  • Manage and maintain organization of company data, ensuring accuracy and accessibility.
  • Collaborate closely with the Office Manager to handle various administrative tasks, including but not limited to:
  • - Billing: Generate and process invoices accurately and in a timely manner.
  • - Accounts Receivable (AR): Monitor and follow up on outstanding payments from clients.
  • - Accounts Payable (AP): Assist in managing vendor invoices and processing payments.
  • - Stocking: Maintain inventory levels and coordinate replenishment as needed.

Secondary Responsibilities:

  • Answer incoming calls and direct within company, as needed.
  • Provide support, as needed, for local and state application submissions, including:
  • - Printing and assembling application documents.
  • - Delivering completed applications to various local Town & City Halls.

Ideal Qualifications:

  • High School Diploma or Equivalent.
  • 3-5 Years of Experience performing similar tasks
  • Solid understanding of Quickbooks, Google Suite, Microsoft Office Suite.
  • Valid Driver's License.
  • Excellent organizational and time management skills, with the ability to prioritize and multitask effectively.
  • Strong attention to detail and a commitment to accuracy in all tasks.
  • Ability to follow directions and take initiative.
  • Willingness to travel between our two offices in Andover, MA and Plaistow, NH.
  • Willingness to travel locally during the workday for work-related tasks, typically shorter distances but occasionally up to 35 miles. Please note that mileage will be reimbursed.
