Fire Administrative Assistant III:
Handles complex issues and problems and refers only the most complex issues to higher-level staff. Is capable of performing all duties of an Administrative Assistant I and II, and provides leadership, coaching, and/or mentoring to a subordinate group, as needed.
Acts as the primary point of contact for leadership, managing and prioritizing their schedules, emails, and communications.
Collaborates with other administrative professionals to streamline office processes.
Independently handles issues and problems, applies expertise to find effective solutions, anticipates needs, and proactively addresses issues before they arise.
Facilitates strategic communication within the team and with external stakeholders, ensuring alignment with organizational goals. Drafts, edits, and proofreads documents, reports, and correspondence. Communicates effectively on behalf of leadership, internally and externally.
Utilizes advanced features of office software and other relevant tools and assists in the implementation and management of office technologies.
Ensures meticulous compliance with organizational policies and maintains accurate records and files.
Coordinates and manages logistics for meetings, conferences, and events. Arranges travel, accommodations, and itineraries.

Required Knowledge, Experience, And Training
High school diploma or equivalent and 4 years of directly related administrative experience, or an equivalent combination of education and/or experience.
Knowledge of: general business office practices and procedures; standard office equipment; and Microsoft Office applications.
Ability to: understand and comply with rules, regulations, and policies; anticipate the needs of the department through the administrative assistant lens; identify and communicate potential process improvements; demonstrate accuracy, attention to detail, and organizational skills; maintain confidentiality with sensitive information and documents; complete assignments in a timely fashion; maintain prompt and regular attendance; communicate effectively in the English language at a level necessary for efficient job performance; and perform all essential functions as assigned by an authorized employee, supervisor and/or manager with or without a reasonable accommodation.
Individuals must be capable of operating vehicles safely and have an acceptable driving record.
Preferred Knowledge, Experience, And Training
Five years of directly related experience.
One year of experience providing clerical and administrative support to senior-level management in a public safety environment.
Advanced knowledge of Microsoft Office applications.
Licensing And Other Requirements
A valid state-issued driver's license.

Physical Efforts
While performing the duties of this job the employee is frequently lifting/carrying up to 10 pounds and occasionally lifting/carrying up to 20 pounds. Work includes sensory ability to talk, hear and touch. Work in this position also includes close vision and distance vision. Employees will sit, stand, walk, reach and grasp. Position requires hand/finger dexterity.
