Description
The Maintenance Operations Assistant provides administrative and purchasing support to the Maintenance Manager.
Essential Functions:
  1. Perform a variety of administrative tasks in support of the Maintenance department to include maintaining calendars, scheduling appointments, preparing correspondence, meeting minutes, data entry and file maintenance.
  2. Prepare reports, spreadsheets, presentations and other miscellaneous documents or reports upon request.
  3. Answer and screen all telephone calls and receive visitors in a courteous, pleasant, and professional manner; handle or transfer calls to the correct party; take clear and accurate messages when necessary. When appropriate, handle telephone calls from inquiry to resolution of the issue presented.
  4. Negotiate with vendors and suppliers to obtain price quotes and order parts and materials for plant, truck and equipment repairs.
  5. Create purchase orders and add parts to parts catalog as needed.
  6. Set up Maintenance equipment rentals as requested.
  7. Effectively utilize the TMT inventory system and ensure that parts are maintained at optimum levels at all shops. Reconcile any inventory problems.
  8. Interact with company personnel and other business personnel to provide and obtain information for a wide variety of tasks in support of the Maintenance department.
  9. Other duties as assigned.
Non-Essential Functions:
  1. Fill in for colleagues as needed.
  2. Volunteer and participate in company events.
Qualifications
JOB SPECIFICATIONS
Work Environment:
  • Work time will be indoors/office.
  • Noise level will be low.
Physical Demands:
  • Lift a maximum weight of 35 lbs. and carry up to 35 lbs. on occasion.
  • Sit approximately 7 hours per day and walk or stand the other 1 hour per day.
ADDITIONAL QUALIFICATIONS
Experience:
  • General administrative experience (2-year minimum).
  • Experience with purchasing (preferred).
Special Skills:
  • Written communication, verbal communication, and basic mathematical skills.
  • Ability to use a computer, including Microsoft Office with a focus on Word and Excel.
  • Excellent interpersonal skills.
  • Able to exhibit a high level of confidentiality.
