Title: Field Operations Coordinator

Reports to: President

Work Schedule

7:00am to 4:00 pm with 1 hour for lunch. Work as required to meet job responsibilities.

Working Conditions

General office environment, with some field time to review projects and staff operations. Required to communicate via phone, cell, and e-mail professionally. Strategic planning, problem solving and commitment to the company are needed to perform job duties.

Position Summary

Direct, coordinate, and administer field activities and operations, including subcontractor management, project management, invoicing and has responsibility for company’s image and customer service. Must keep all employees working toward the same goal, while giving each one opportunity to achieve their individual goals. We are not looking for a dispatcher but, we are looking for a strategic field operations manager who can interact with clients, subcontractors, and employee’s. Establish and nurture strong, productive professional relationships. Responsible for employee safety and compliance with company safety program.

Key Responsibilities

Management

  • Oversee operations of company and coordinate field technicians’ schedules with dispatcher to ensure contract and customer coverage.
  • Develop and monitor systems and processes to assure accuracy and timeliness of the company’s operations.
  • Work within approved annual financial plan tracking billable hours, total revenue, and overhead.

o Revenue forecast

  • Overhead expenses Daily Service Management

o Subcontractor management (Make calls to coordinate work to fit schedules)

o Technicians Time Sheet / Payroll review & approval

o Work order notes review.

o Approve and edit completed work orders.

o Preventative Maintenance schedule, coordination & billing

  • Estimating

o Get material and sub prices.

o Create budgets.

o Communicate with Clients

  • Disseminate information to PFM staff provided by President from REL leadership meetings and actively participate to improve.

Employees

  • Manages company performance management program to achieve best performance
  • Provide President suggestions for discretionary bonus’; disciplinary actions; work reviews
  • Provide a safe, enjoyable, and respectful environment for all employees to work
  • Encourage safety culture

Clients

  • Manage client relationships.
  • Set and execute property inspections to insure quality performance and long term care.
  • Build and maintain company’s reputation for client service.
  • Manages client relations. Ensures terms and conditions of contract are fair to both parties and includes reasonable payment terms to company.
  • Be a key representative of PFM. Actively engage with community and business leaders. Establish and maintain relationships with clients and vendors.

Knowledge, Skills and Ability

Computer: Excel, Word, Outlook, (Bonus would be SAGE experience)

Trades: Familiarity of tasks in a variety of trades commercial and residential (i.e. carpentry, plumbing, electrical, masonry, mechanical, roofing, power tools, flooring, sheetrock, plaster).

Rules: IBC building codes, OSHA, IBC, NFPA, Building Permit requirements

Education and Experience

College degree in Business, Marketing, Management or equivalent or minimum 5 years’ experience in related business with management responsibilities.
