Who We Want
The Administrative Assistant will be responsible for specialized support for executives as well as assist in covering the front reception area at Carson Wealth – The Shobe Financial Group. They will play an important role in setting the tone for the office as they will be the first and last person guests see when visiting Carson. They are instrumental in making sure visitors have a positive experience while being proactive and capable of performing multiple tasks simultaneously. They should be driven, organized and possess excellent communication and time management skills. This role will work closely with executives involved with a variety of businesses and industries, allowing for opportunities to learn, develop new skills, and work on a wide range of tasks and assignments.

What To Expect

  • Serve as an ambassador for Carson Wealth – The Shobe Financial Group. Strive to become an expert of all the ins and outs of the building and be familiar with all departments and processes in order to be able to serve stakeholders and visitors confidently and effectively.
  • This person will work with and provide support to the team including the financial planning department and executive team (Chairman, President, SVPs and VPs).
  • Communicate with clients and staff.
  • Complete reports to facilitate onboarding and reviews ensuring a consistent and positive client experience.
  • Work with Director of First Impressions, at times, to manage first impressions for our office through front desk activities; greeting clients, answering phones and directing guests with exceptional customer service.
  • Provide back-up coverage for the Director of First Impressions with activities such as correspondence, mail, delivering gifts, shipping, postage and other items.
  • Maintain daily changes to scheduled events and identify logistical issues resulting from such changes.
  • Assess priority and time sensitivity of correspondence received.
  • Exercise discretion handling confidential business materials as well as personal matters.
  • Perform general clerical duties such as filing, sorting, and data entry.

  • Professional written and verbal communication skills, combined with excellent phone etiquette.
  • Can handle sensitive and confidential information with professionalism and integrity.
  • Experience handling multiple projects at once while maintaining a professional and positive demeanor.
  • Planning, organizational, high attention to detail, time management, and critical thinking skills required.
  • Ability to remain flexible in the face of changing priorities.
  • Must be able to work both independently and in team environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)

Preferred Education and Experience

  • Bachelor's degree in business or related field.
  • 2 years’ experience in professional office setting highly preferred.
  • 2 years’ experience directly supporting manager or VP level professionals highly preferred.
