Our company is seeking an experienced Executive Assistant to provide comprehensive support to our CEO. This role is critical to streamlining operations, enhancing productivity, and enabling strategic decision-making at the highest level. Ideal candidates will have a proven track record of success in fast-paced environments. As an executive assistant, you will perform diverse secretarial duties and administrative functions requiring confidentiality, initiative and sound decision-making for a high profile CEO and his company.

Key Responsibilities:

  • Calendar Management: Scheduling appointments, meetings, and events for the CEO. This includes coordinating with other executives and clients.
  • Email and Correspondence: Managing the CEO's email inbox, drafting responses, and handling correspondence on behalf of the CEO.
  • Travel Arrangements: Booking flights, hotels, rental cars, and other travel logistics for the CEO. This may involve coordinating complex travel itineraries and ensuring that travel plans align with the CEO's schedule.
  • Meeting Support: Preparing meeting agendas, taking minutes, and distributing materials. This may also involve coordinating meeting logistics and ensuring that meeting rooms are set up properly.
  • Communications: Acting as a liaison between the CEO and other employees and clients. This may involve relaying messages, fielding inquiries, and managing requests for the CEO's time.
  • Document Preparation: Drafting and editing documents, presentations, and reports for the CEO. This may include researching information, compiling data, and ensuring that materials are accurate and well-presented.
  • Administrative Support: Providing general administrative support to the CEO, such as filing documents, organizing files, and maintaining office supplies.
  • Project Coordination: Assisting with special projects and initiatives as needed. This may involve coordinating tasks, tracking progress, and ensuring that deadlines are met.
  • Confidentiality and Discretion: Handling sensitive information with the utmost discretion and maintaining confidentiality at all times.
  • Priority Management: Helping the CEO prioritize tasks and manage their time effectively. This may involve screening phone calls, managing interruptions, and proactively addressing important issues.
  • Relationship Management: Building and maintaining relationships with both internal and external to the organization.
  • Problem Solving: Addressing issues and challenges as they arise, and finding solutions in a timely and efficient manner.

Qualifications:

  • Minimum of 2 years of experience as an Executive Assistant, preferably supporting CEO(s).
  • The ability to communicate effectively in both Mandarin and English
  • Experience in a fast-paced environment.
  • Exceptional organizational skills and impeccable attention to detail.
  • Strong communication and interpersonal skills, with the ability to interact professionally with all levels of staff, stakeholders, and external partners.
  • Proven ability to handle confidential information with discretion and to deal with professionals inside and outside the company.
  • High proficiency in MS Office, Google Workspace, and other digital tools for executive support.
  • Ability to manage multiple tasks and projects with high precision and minimal supervision.
  • Bachelor's degree or equivalent experience in Business Administration, Management, or a related field.

Pay: From $70,000.00 per year
