POSITION: Administrative Assistant for Curriculum & Instruction
GENERAL DESCRIPTION: Serve as an Administrative Assistant to the Curriculum & Instruction Department.
QUALIFICATIONS:
Serve as an Administrative Assistant to the Curriculum & Instruction Department.
Three (3) to five (5) years of experience in the secretarial field. Proficiency in MS Office (Word, Excel, PowerPoint and Access) Microsoft Outlook calendar, and Google (Drive, Sheets, Docs, Slides, etc.). Functional knowledge of financial software systems and proficiency in the Marketplace ordering process programs preferred. Ability to work in a self-directed environment and to exercise judgment, confidentiality and diplomacy at all times.
ESSENTIAL FUNCTIONS:
  • Ability to handle a high volume of work in a fast-paced environment.
  • Ability to meet deadlines.
  • Ability to multitask and manage multiple projects and priorities at one time
  • Attention to detail.
  • Must be highly organized and able to prioritize.
  • High degree of customer service skills. Greets staff and visitors courteously and professionally.

  • Ability to demonstrate a record of accountability, acceptance of responsibility, and productivity.

  • Serves as a confidential employee to administration and the Board of Education.
  • Following up on all document collection for the department.
  • Answers phone calls for the department.
  • Filing of items in the appropriate place and in a timely fashion.
  • Assist and manage departmental budget set-up, maintenance, reconciliation, etc.
  • Provide weekly budget updates to the Executive Director
  • Place orders as received by the department, including all contracts and agreements received at the beginning of each school year. Also includes adoptions, testing, federal grants, cyber, gifted, mileage, and media.
  • Work closely with current vendors and assist with decision process to add new vendors
  • Process departmental invoices, purchase orders, etc. systematically while maintaining appropriate paper trail
  • Troubleshoot orders that are not able to be filled due to price and availability to find alternative options
  • Troubleshoot invoices that are not accurate
  • Ensure timely and accurate delivery of orders.
  • Manage the use of and set-up of Central Office conference rooms.
  • Knowledgeable in district, school building, department and community activities and events to successfully respond to questions from parents, community members and staff.
  • Able to respond to issues/concerns in a respectful, tactful and courteous manner.
  • Maintain a positive attitude and work as a cooperative team member.
  • Demonstrate excellent written and verbal communication skills.
  • Perform all clerical and secretarial functions as required within the scope of responsibilities.
  • Prepare reports for the Curriculum & Instruction Administrators as directed.
  • Prepare and disseminate correspondence.
  • Updating and maintenance of curricular documents.
  • Support with securing translators.
  • Support with College Credit Plus documentation.
  • Manage the flow of all tasks to ensure timely completion and efficient operation.
  • Other duties as assigned by supervisor or designee.
ADDITIONAL WORKING CONDITIONS:
  • Work is performed in a school/office environment
  • Ability to lift up to 50 lbs.
  • Bending, Lifting, Twisting and repetitive motion required
  • Must maintain strict confidentiality
  • Valid driver’s license required
TERMS OF EMPLOYMENT:
Salary and work year as established by the Governing Board. The employee shall remain free of any alcohol or non - prescribed controlled substance use in the workplace throughout his/her employment in the District.
EVALUATION:
Performance of this position will be evaluated in accordance with provisions of the Board’s policy on Evaluation of Support Personnel.
STARTING DATE: To be determined
SALARY: $23.26-$33.22 per hour
BENEFITS: Excellent benefits for all full-time employees
WORK YEAR: Full-time- 260 days
