****JOB SUMMARY****

**He/ she will perform duties for the smooth operation of the parts department, such as data entry and ordering parts to maintain inventory control.**

****Essential Duties & Responsibilities****

- Inventory Control for parts department, which includes posting receipts and inventory adjustments on in-house computer system.

- Reconcile and code packing slips and invoices.

- Create vendor orders as necessary and input into various vendor systems.

- Record and file discrepancy reports with vendors and follow up on status of credits.

- Calculate and record variances, and file with vendor for credit if necessary.

- Type letters and emails for parts department as needed.

- Works with Parts manager to record data for periodic inventory reconciliations, and annual inventory.

- Work with shipping and receiving department to insure parts are received correctly according to our established guidelines, and that this is done in a timely manner.

- Place daily emergency orders with vendors and works to follow up on backorder items.

- Weekly collaboration with the Parts Manager to reconcile the Factory receivable schedule and insure credits are received in a timely manner.

- Processes purchase orders as required, tracks orders, and investigates problems.

- Records purchases, maintains database, and reconciles actual stock count to computer-generated reports.

- Processes and documents returns as required following established procedures.

- Performs routine clerical duties, including data entry, answering telephones, and assisting customers.

- May serve as cashier and handle cash and cash-related payments.

- Performs miscellaneous job-related duties as assigned.

****Knowledge, Skills, and Abilities Required:****

- Knowledge of supplies, equipment, and/or services ordering and inventory control.

- Ability to reconcile stock counts to report data.

- Database management skills.

- Ability to analyze and solve problems.

- Ability to prepare routine administrative paperwork.

- Ability to receive, stock, and/or deliver goods.

- Clerical, word processing, and/or office skills.

****Educational Requirements****

* High school diploma or GED; at least 1 year of experience directly related to the duties and responsibilities specified.
