Primary Duties :

Responsible or handling all incoming office telephone calls. Properly transferring and staging calls to insure that the correct individual answers them in an appropriate amount of time.

Make sure that messages are correctly recorded if an employee is unavailable or absent. Receptionist must maintain a high level of confidentially regarding employee activities.

Act as cashier for the company :

1. Taking money for cash tickets and in accounts

2. Perform all credit card transactions

3. Giving accurate change to customers and employees

4. Keeping receipts for all petty cash given out and any misc. cash taken in and reimbursing weekly.

5. Maintaining both cash boxes daily; keeping an adequate amount of small bills and change available for parts and service during night shift.

Essential Job Tasks :

Customer Service is the most important responsibility.

1. Responsible for opening cashiers window promptly at 8 : 00 a.m. and 1 : 00 p.m. and balancing both petty cash boxes from previous days activities.

2. Monitor and close all available shop repair orders daily. Acquiring purchase order from customers when necessary.

3. Record and report hourly employee payroll. Reconciliation of vacation and sick time for hourly employees.

5. Process credit inquiries- outgoing and incoming.

6. Monitor and purchase office supplies inventory.

7. Responsible for preparing mail every evening for the post office and inter-office mail between stores.

8. Monitor incoming and outgoing faxes. Make sure that all messages are delivered immediately.

9. Process tax exempt and W-9s and tracking

10. Maintain A / R and A / P files.

11. Cash reconciliation.

12. Responsible for the filing of all A / R copies for statements.

13. Bill and collect all temporary and misc. accounts, reporting problem accounts to the general manager.

14. Perform time reconciliation for service department.

15. Type contracts for Bruckners Leasing Company. Fax all forms for approval of customer insurance and driver approval.

16. Perform misc. tasks for all supervisors and salesmen pertaining to company business, typing, mailing, etc.

Marginal Job Tasks :

1. Answer incoming calls for the parts department.

2. Make travel arrangements for any company related trip made by employees.

Educational Requirements :

Minimum high school diploma required. Any additional courses in office procedures or accounting favorable but not required.

Work Experience :

Minimum two years experience in an accounting office acting as receptionist with heavy experience with a multi-line telephone.

Typing and some computer experience required.

Special Requirements :

Position involves essential ability to :

1. Read (computer generated reports, office reports, invoices, etc.).

2. Compute numbers both manually and by use of calculator or computer.

3. Write (correspondence, receipts, etc.)

4. Operate computer terminals, 10-key calculator, and photocopier; fax machine, postage meter, telephone, and typewriter.

5. Interact politely with customers, vendors, and co-workers in a positive and constructive manner.

Other Requirements : Position involves essential ability to sit, maneuver from one work area to another, being able to bend and squat, and manipulate small objects.

Involves working indoors only. Involves lifting and maneuvering of computer paper and boxes up to 50 lbs.
