The Executive Assistant is the right-hand support person for the President on company as well as personal business matters. He/she will be the brand ambassador supporting and interacting with customers, guests, employees, etc. We seek a positive, professional, informative, outgoing and organized individual to support and assist the President in day-to-day functions.

Job Summary and Job Functions

  • Schedules and/or assists with scheduling, arranging and maintaining the Presidents calendar and daily schedule.
  • Ensures the President is aware of and stays up to date on scheduled commitments
  • Coordinates the President’s travel arrangements and prepares monthly expense reports
  • Accept and respond to calls, emails, and other inquiries for the President
  • Engages in a variety of contacts outside the office in order to obtain or relay information, arrange meetings, etc.
  • Prepare for meetings and greets/welcomes guests
  • Handle confidential information/issues with a high degree of professionalism
  • Assist with any special projects for the company or President as directed
  • Provides support to the President in various business and personal tasks such as having lunch delivered, picking up items or making deliveries in town, fielding phone calls from property renters, ensuring the President’s office stays organized and presentable for visitors.

Requirements

  • Bachelor’s degree preferred, but not required
  • Previous experience in an administrative support capacity preferred with experience in customer service required
  • Ability to use appropriate technology to complete work in an efficient and effective manner
  • Trusted as someone who will do what they say they will do
  • Ability to manage multiple priorities at once while aggressively pursuing and accomplishing tasks and goals
  • Effective time management, organizational and project planning skills
  • Sense of humor, open-minded and open to challenges

Physical Demands and Work Environment

  • Office environment working atmosphere
  • Moving self in different positions to accomplish tasks in various environments
  • Remaining in a stationary position, often standing or sitting for prolonged periods
  • Moving about to accomplish tasks or moving from one worksite to another
  • Communicating with others to exchange information
  • Repeating motions that may include the wrists, hands and/or fingers
  • Performing and assessing the accuracy, neatness and thoroughness work
  • Sedentary work that primarily involves sitting/standing
  • Light work that includes moving or adjusting objects up to 20 pounds
