Brana Designs is Hiring an Administrative Assistant Near Newport, CA

We are interior design studio & are seeking a detail-oriented individual with excellent organizational & interpersonal skills. This position is not design-driven & requires someone who thrives on checklists, strategy, communication, and attention to detail. The role is *mostly* remote, with projects primarily based in the Newport Beach area therefore we only will consider candidates based in the OC, that have car and can run errands and attend clients meetings.

Per our previous experience the scope usually takes between 20-30hours/month.

Requirements:

  • Minimum 1-2 years of office/purchasing assistant experience ideally in the Interior Design industry.
  • Experience with project management software for invoices and proposals.
  • Proficiency in Google Suite: Slides, Sheets & Docs.
  • Familiar with IOS (Macbook, Ipad & Iphone).
  • Well spoken. Written & verbal communication skills coupled with a positive and kind attitude.
  • Self-driven with minimal supervision required.
  • Time efficient & thorough: The ideal candidate will efficiently navigate through tasks while maintaining a high level of attention to detail and accuracy.
  • Experiences in Sales & Marketing are plus.

Responsibilities:

  • Required: Diligently complete tasks and provide updates on completed tasks without reminders.
  • Communication Management: Handle communications in timely manner & ability to write informative, professionally formatted emails. Handle email and phone communication with vendors, clients, and contractors in professional manner.
  • Manage calendars and schedule appointments
  • Sourcing & purchasing management: Samples & Product ordering, product tracking, following up with vendors, updating order status in our project management software. Warehouse communication, warehouse tracking, and transportation tracking. Scheduling and following up on deliveries.
  • Create invoices and proposals using project management software.
  • Set up & manage digital files in Google Drive.
  • Attend client meetings, take informative notes, and take & organize project photography.
  • Run errands if needed. (pick up samples, visit job site, etc.)
