Job Overview:
We are seeking an experienced and organized Office Manager to join our team. The ideal candidate will have exceptional focus and attention to details, excellent work ethic and professionalism, and outstanding organizational and communication skills. The office manager will be responsible for overseeing the daily operations of our office, including scheduling patient appointments and caregiver/school meetings, resolving scheduling problems, managing patient files, managing commination between patient caregivers and BrainTools team members, communicating with patient caregivers and schools, assisting the clinical team, and basic accounting and budget management. This is a full-time position.
General Duties:
- Oversee daily operations of the BrainTools office.
- Coordinate and schedule meetings and appointments.
- Maintain office policies and procedures to ensure efficiency and compliance.
- Manage office supplies inventory and place orders as needed.
- Oversee calendar management for clinical coordinator and assist clinical director in projects.
- Maintain patient files.
- Handle patient inquires and concerns in a professional manner.
- Manage front desk operations, including greeting visitors and answering phone calls.
-Assist with billing and insurance claims processing.
Experience:
- Proven experience as an Office Manager or similar role
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Experience in team management and supervising staff members
- Strong understanding of mental health/healthcare office procedures and protocols
- Excellent calendar management skills
- Proficient in Microsoft Office Suite (outlook, word, excel, SharePoint)
