Boys & Girls Clubs of Central Florida is Hiring an Administrative Assistant Near Kissimmee, FL

Boys & Girls Clubs Location:

Marydia Community Center

PRIMARY FUNCTION:

Provide regular clerical and administrative support to the Chief Professional Officer or senior staff as assigned. Prepare correspondence and reports. Responsible for purchasing supplies. Maintains statistical data regarding club membership and processes club member accident forms. Greeting guests and answering telephone. Distributes and processes incoming and outgoing mail. Processes in-kind donations.

KEY ROLES (Essential Job Responsibilities):

1. Performs regular secretarial duties, preparing correspondence and reports as requested by supervisor and composes draft letters following established formats. Proofreads all materials for accuracy prior to supervisory review and signature.

2. Maintains master of Club addresses and contact numbers, contact listing of staff, and Branch Board of Director lists.

3. Maintains organization Fact Sheet and disseminates information to Club staff, volunteers, and members as instructed.

4. Responsible for maintaining club membership statistical data.

5. Responsible for filing club member accident forms, informing appropriate personnel and maintaining accident files.

6. Answers telephones, providing general information, referring callers to other staff or taking messages as necessary.

7. Distributes incoming mail and prepares outgoing mail.

8. Monitor office supply inventory and order supplies as necessary. Responsible for Club purchasing requests. 

9. Responsible for office equipment and performing routine maintenance activities and contacting service representatives as needed.

10. Process in-kind donations including preparation of thank you letter, recording of donation in donor database, and coordinating distribution of items received.

  • Serve as receptionist, greeting all members and visitors.
  • Perform other related secretarial or administrative duties as requested.

RELATIONSHIPS:

Internal: Maintains close, daily contact with Club staff (professional and volunteer) and supervisor to receive/provide information, discuss issues, explain guidelines/ instructions; instruct. 

External: Maintains contact with general public to give and obtain information, either in response to inquiries or as instructed by supervisor.

SKILLS/KNOWLEDGE REQUIRED:

1. High school diploma or GED.2. Minimum two years secretarial experience.3. Knowledge in use of common office equipment and computer software; word processing, database, spread sheet and publishing.4. Typing/keyboarding skills of at least 60 WPM.5. Good written and verbal communication skills6. Good organizational skills and attention to detail.7. Strong customer relations skills.8. Able to maintain strict confidentiality.9. Valid driver's license with good driving record and consistent access to a vehicle with appropriate insurance coverage.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

Physical requirements: The ability to clearly and concisely exchange/receive ideas, facts and or technical information with others. The employee is required to use hands to handle or feel and reach with hands and arms. The employee is occasionally required to stand and walk. The employee may occasionally lift and/or move up to 10 pounds. Employee is required to operate a motor vehicle. Work environment: Normal office environment.
