Boys & Girls Club of Flagstaff is Hiring a Remote Office Assistant/ Receptionist

Office Assistant/Receptionist Job Description
Hours: 25-30 hours/week
Hybrid position (part in-office/part remote)
Schedule: Monday through Friday
Position Type: Hourly Non-Exempt
Compensation: $18/hr.
Benefits: Free Club membership for eligible dependents; paid sick time; health, vision, dental, short and long term disability, life insurance, paid birthday off (available after completion of 30 days’ employment).
Reports to: Director of Operations
Purpose of Position: The Boys and Girls Club of Flagstaff needs a responsible, flexible Office Assistant/Receptionist to support our daily operations so that we can provide a safe, nurturing environment for kids to learn and grow.
In this role you will support the CEO, and other Directors in an administrative role for the Boys & Girls Club of Flagstaff. You will provide general administrative support; membership database management; answer phones and emails; billing; bookkeeping; meeting minutes; supply management; other duties as assigned and with appropriate training. Assist with day to day operations, supply management, and building maintenance. Assist with volunteer management as well as marketing and outreach.
The ideal candidate will be:
  • Articulate, well spoken.
  • Confident in asking for clarification, assistance and can defuse stressful situations.
    • Must maintain composure and professionalism at all times.
  • Works well under loud, distracting, busy conditions.
  • Organized- Prioritizes tasks and actions as well as keeps the front desk free of clutter.
    • Excellent time management skills.
    • Completes all assigned tasks on time.
    • Must be detail oriented and task driven.
  • Must be a quick learner and proficient with a wide variety of software.
  • Can work independently and as part of a team.
What You’ll Do:
  • Bi weekly Client invoicing
  • Check in/out and daily attendance recording of all youth.
    • 2pm-6:30pm in office
  • Ordering supplies for kitchen as needed
  • Check mailbox, separate mail
  • Maintain membership profiles
  • Answer phone and door (the club is a locked facility)
    • Take messages for Directors
  • Check administration emails and forward as needed
    • Send receipts to Director of Operations
    • Correspondence with parents/staff
  • Communication with community partners
  • Pre-transportation checklist on all vehicles weekly
Other duties and responsibilities:
  • Staff support
    • Watch for and share any concerns regarding the kids
    • Assist with cleaning facility
    • Oversee facility maintenance- with guidance from our Ops Manager, communicates facility needs with Flag city or Coconino County.
Required qualifications:
  • Minimum of one (1) years of office assistant or administrative experience OR Any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.
  • Minimum of (1) years working with youth aged 6-17 in a professional setting OR Any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.
  • The ability to pass a drug test, criminal and driving records investigations, and reference checks.
  • Access to reliable transportation.
  • The ability to have or obtain CPR / First Aid Certifications and Fingerprint Clearance Card.
Desired qualifications:
Previous work or volunteer experience in a Boys and Girls Club or equivalent after-school program.
Required skills/abilities:
  • Have knowledge of standard office practices and procedures.
  • Have intermediate knowledge of Google Suite and Microsoft Office.
  • Have the ability to collaborate with other community-based youth organizations and social service agencies.
  • Have the ability to withstand stress and handle multiple, concurrent tasks and constant interruptions.
  • Have the ability to interact/communicate at the executive level.
  • Have ability to read and interpret documents, perform highly detailed work and mathematical functions.
  • Have ability to effectively manage multiple tasks and ability to develop, implement and manage multiple work projects.
  • Have the ability to relate to individuals and groups in a manner that will inspire respect and confidence.
  • Have commitment to continuous learning.

The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to walk and stand for extended periods of time. The employee is occasionally required to reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 50 pounds and occasionally lift and/or move more than 100 pounds. The employee is required to drive a vehicle for extended periods of time. Specific vision abilities required by this job include depth perception. The employee is required to sit for periods of time to perform functions on the computer.
Work Environment:
While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The employee is occasionally exposed to wet and/or humid conditions, moving mechanical parts, and extreme heat and cold. The noise level in the work environment is usually moderate to high.
