Bowen Center is Hiring an IT Administrative Assistant Near Warsaw, IN

Position Summary:

To provide administrative support and assistance to all Information Technology workgroups and departments within the Bowen Center. This includes, but is not limited to, invoice tracking and coding, logging purchases for capital tracking, equipment and solution ordering for all IT workgroups and departments, contract management (tracking of end dates and renewals), and tracking ongoing expenses beyond invoicing where necessary. This position reports to the VP of IT but will hold responsibilities to all of IT and IT leadership.

Qualifications:

  • Education: Minimum of High School Diploma
  • Certificate or Professional License: No certificates or professional license required.
  • Experience: Previous experience as an administrative assistant, court reporter, or unlicensed legal assistant could be beneficial.
  • Valid driver’s license and active liability insurance.
  • Satisfactory results from criminal background check.

Knowledge, Skills, and Abilities:

  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work member and ability to work independently
  • Excellent organizational skills
  • Ability to manage confidential information in a professional manner
  • Ability to maintain a professional and customer-friendly attitude

Primary Duties and Responsibilities:

The following tasks are the primary duties and responsibilities of an employee in this position. Any single position may not perform all of these tasks and/or may perform related tasks not listed here:

  • Invoice tracking and coding
  • Logging capital purchases and validating their tracking within the General Ledger
  • Acting as the central point of ordering for all IT expenses and orders
  • Contract management (tracking all IT contracts, their renewal dates and terms, and notifying leadership prior to renewals)
  • Responsible for notification (or action) on annual requirements (examples: ensuring annual PCI compliance is filed and completed, ensuring wed domain licenses are continuously renewed)
  • Manage printer lease tracking and other ongoing expenses which require detailed checking and validation
