Job DescriptionA leading environmental services provider in Escondido, CA is searching for a proactive and motivated Interim Admin Assistant to support its operations team! This full-time, temporary position has the potential to become permanent after a 3-month evaluation of company needs. Salary Range: $20 -$25 / hour DOE Admin Assistant Requirements
2 years of experience as an administrative assistant, preferably with scheduling and travel booking experience
Proficiency in Microsoft Office Suite and Outlook for email and calendar management
Ability to handle multiple itineraries and calendars
Strong organizational skills and attention to detail
Excellent communication skills and ability to work in a fast-paced environment
Comfortable with technology and quick to learn new systems
Experience with shipping and logistics coordination is preferred
Familiarity with ClickUp (management software) is a plus
Admin Assistant Responsibilities
Book and manage travel arrangements, including itineraries, flights, hotels, and car rentals
Handle logistics, including shipping coordination, tracking shipments, and ensuring timely delivery
Manage office supplies, order snacks, and ensure a well-stocked office
Schedule and coordinate meetings, maintaining calendars for multiple team members
Address travel-related issues and maintain relationships with travel partners
Manage emails, letters, packages, phone calls, and other forms of correspondence
Create and update databases and records for financial information and personnel data
Track and replace office supplies to avoid interruptions
Submit reports and prepare proposals and presentations
Perform safety checks on a daily/weekly basis
Handle expense reporting, including reviewing, scanning, and uploading documents
Assist colleagues with various tasks as needed
