To coordinate with another operations administrative specialist II for guidance on daily, weekly business needs

Route work orders to his/her teams assigned (note just below)

Provide administrative support to the electrical/electronics trade supervisor and the grounds/custodial supervisor as well as all the technicians within those groups

Coordinate the purchases for techs on teams assigned for both online and local supply needs

Collecting receipts and packing slips to scan and distribute to finance team and to support upload to our purchasing card 

Assist with ground use permits

Ordering of custodial supplies and office supplies as needed

Update our smartsheet information as needed

Utilize daily emails from supervisors to know hot sheet tech for urgent campus response needs

 Assigned full responsibility for the phone calls coming into our division main line, respond to all emails into our facilities front office email and respond to teams communications from our liaisons on our facilities page at least 2 ½ days per week and provide coverage for lunch and breaks to our other administrative staff and may be required for more coverage if our other staff is out ill or supporting evacuation drills or other job tasks assigned.

Small print jobs, library notifications, agency notification preparation for mailing deadlines, assistance with coordinating copier service repairs, collecting orders for paper supply requests, gathering orders for business card print jobs, etc.

This is a job requiring engagement with a lot of staff in various roles and within our business lines of mail and print services, real estate and planning, capital improvements, parks, and finance. This person would need to be able to multi-task and prioritize what is coming in to respond to urgent fire life and safety issues and follow up on issues to a resolution.
Qualifications:
Three (3) years of progressively responsible experience providing administrative orclerical support.
Possession of Microsoft Office Specialist (MOS) or other applicable certifications may substitute for up to one (1) year of the experience requirement.
