BIOFerm Energy Systems is Hiring a HR/Admin Assistant Near Madison, WI

BIOFerm, an innovative renewable energy company, is looking for full-time HR/Administrative Assistant to provide administrative, human resources, logistic and financial tracking support. The position is based out of our office in Madison, WI.

Essential Job Functions:

  • Assist VP of HR with hiring, company insurance, benefits administration, etc.
  • Understand, maintain, and improve workflow of operating practices, recordkeeping systems, form control, and budgetary requirements; work with admin team to streamline processes and implement changes when needed
  • Purchase supplies for office and jobsites
  • General office management, which includes making coffee, managing/ordering office supplies, updating inventory list, keeping the office clean, and related tasks
  • Organize schedules and travel arrangements for visitors and company employees
  • Manage company calendar, which includes meetings, conference bridges, client appointments, travel dates, convention dates, and employee absences
  • Arrange and prepare meetings – including invitations, follow-up of attendees, facility arrangements, ordering meals, etc.
  • Perform receptionist duties such as answering and directing calls, greeting clients and guests, mail, faxing, filing, etc.
  • Code, compile and submit expense reports for company credit cards and assisting team members with reimbursement reports by deadlines
  • Process expense approval paperwork for invoices in a timely manner
  • Maintain records and schedule maintenance appointments for all company vehicles
  • Proofread and format documents on company letterhead
  • Identify, address and resolve project administration issues and problems as or before they occur
  • Ensure employees are following company policies and using proper company documentation
  • Create corporate accounts to establish discounted rates for airlines, rental cars, hotels, office supplies, etc.
  • Complete overall support tasks for management team
  • Administer COVID-19 office protocols, including daily temperature checks
  • Assist with additional administrative tasks as needed


Competencies & Qualifications:

  • Minimum associate degree and two years of equivalent work experience or bachelor’s degree in a related field
  • Ability to readily convert objectives into activities and deliverables
  • Strong interpersonal skills and professional composure
  • Excellent and self-directed organizational skills
  • Flexibility to take on multiple tasks in various areas in a fast-paced environment
  • Ability to prioritize tasks and meet deadlines
  • Systematic approach to ensure timely completion of all tasks
  • Excellent computer skills in Microsoft Office Word, Excel and Power Point including the ability to learn new software as required
  • Detail oriented
  • Ability to lift and carry up to 25 pounds
  • Valid US driver’s license
  • Must be authorized to work for any company in the United States. Must not require sponsorship, or continued sponsorship to work for any company in the United States
