⛳️ We are hiring a part-time Administrative Assistant in Events at Vitense Golfland! ⛳️

Vitense Golfland is a family-owned Madison business, committed to being a leader in the golf entertainment industry by providing a memorable guest experience with the help of spectacular team members.

The facility includes a Top 50 Rated Golf Range in the US with 25 heated golf suites, powered by Top Tracer and open year-round, both day and night. We also provide a lit 9-hole, par 3 golf course for day and night play; one indoor and two outdoor #1 rated miniature golf courses in Wisconsin; Signature Hole Grill & Bar, with service directly to the golf suites; two multi-sport Full Swing Simulators; Vitense Golf Academy, offering lessons from PGA Professionals; and more!

Vitense Golfland is searching for an employee looking to gain valuable experience in event planning and management!

Duties of the Events Administrative Assistant will include:

  • Answer incoming calls and resolve questions or direct them to the correct person
  • Effectively coordinate events and help maintain the events calendar
  • Coordinate staffing for scheduled events, working events as needed
  • Create and maintain event orders for clients booking events
  • Communicate in a timely manner with potential guests in planning their event, sending out proposals, and retrieving signed event orders with deposits
  • Inside sales – Upsell Vitense and have knowledge to sell packages to inquiries
  • Help to manage production for printed materials, brochures, signage, and other marketing pieces
  • Manage sponsor usage of facility
  • Answer incoming questions about golf leagues and lessons
  • Keep golf league registration and signup forms organized and up to date on the website
  • Collect and record event or league payments in a timely manner
  • Be highly organized and detailed with event documents for clients and Event Manager
  • Work closely with Event Manager on various projects assigned
  • Attend weekly sales and event meetings with Event Manager, Food & Beverage Manager, Bar Manager, and General Manager
  • Maintain reservation site (Toast), ensuring that information is up to date and answer questions pertaining to suite reservations
  • Demonstrate an ability to navigate and understand various software, including GolfNow365 and Toast
  • Other tasks as requested by management

Requirements:

  • Availability to work 24 hrs/week-MWF 8am-4pm- additional hours may be available in evenings and weekends working events if interested
  • Experience in event planning is a plus but not required
  • Strong written and verbal communication skills
  • Fundamental knowledge of the golf industry or an eagerness to learn
  • Demonstrate professional conduct, kindness, and patience at all times
  • High attention to detail and a strong ability to effectively multitask in a fast-paced, diverse entertainment environment
  • Comfortable working independently
