Purpose:

The Executive Administrator areas of responsibility will include administrative duties, support for lead team, finance department, fleet management, mill communication, and charitable/PR administration.

Key Accountabilities:

  • Provide comprehensive administrative support to Mill Manager.
  • Interacts with corporate staff, customers, community organizations, and local media.
  • Coordination, preparation and distribution of correspondence, reports, presentations, press releases and media alerts.
  • Communication responsibilities including creation and distribution of newsletters, updating announcements via email and digital monitors throughout the mill, creation of storyboards, and collaboration with other communicators within the mill.
  • Scheduling and coordination of meetings, resources, and special events.
  • Coordination of mill weekly on call schedule, facilitation of employee retirement and holiday recognition programs, purchasing of office supplies, setting up mill tours, authorizing on-site fundraisers, mill-site poster coordination, supervision of part time office help and event planning.
  • Clerical and administrative support for the Mill Lead Team.
  • Preparation of weekly, bi-weekly and monthly reports.
  • Fleet management to include mill vehicle registrations, sales, and any issues that may arise.
  • Public relations duties including planning and communication of annual United Way employee campaign, coordination of purchase and processing during Jr. Livestock sale at UP State Fair, involvement with Youth in Arts at Bonifas Art Center, and serve as the point of contact for charitable requests.
Required Skills

*Strong computer skills - working knowledge of Microsoft Office Suite (Outlook, Word, Excel and PowerPoint).

*Ability to exercise independent judgment in planning and prioritizing multiple projects.

*Great verbal and written communication skills at all level of the organization.

*Excellent planning and organization skills.

*Demonstrate initiative and creativity and be self-motivated.

*Able to "learn on the fly".

*Ability to prioritize work with minimal supervision.

Required Experience

*Associates Degree in office systems/ administration, business management or related field of study.

*Minimum of 5 years experience providing administrative support to management.

*Communications, Public Affairs, or Human Resource experience is desired.
