Best Formula Insurance Service is Hiring an Office Assistant Near El Monte, CA

As an Office Assistant, you will play a crucial role in providing administrative support to our agents and ensuring the efficient operation of our office. Your responsibilities will include assisting agents with their day-to-day tasks, managing data entry, and maintaining office organization. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.

Job Description

  • Managing both electronic and physical filing systems to ensure documents are organized and easily accessible, as well as accurately entering information into databases and systems.
  • Recording and maintaining accurate records of client interactions, transactions, and other relevant data.
  • Updating and maintaining paperwork, documents, and word processing tasks, including drafting letters, memos, and reports.
  • Assisting in the organization and upkeep of office common areas, ensuring cleanliness and tidiness at all times.
  • Performing various general office clerk duties, such as photocopying and scanning documents.
  • Monitoring and maintaining inventory levels of office supplies, ordering supplies as needed, and overseeing organized storage areas.
  • Handling incoming and outgoing mail and packages, ensuring proper distribution to recipients.
  • Providing assistance and support to connect clients with companies to facilitate claims processing.
  • Offering administrative support to insurance agents, including managing phone calls, emails, and appointment scheduling.
  • Assisting colleagues in contacting clients and/or companies, facilitating communication and information exchange.
  • Collaborating with team members to maintain smooth communication and workflow within the office.

Requirements

  • High school diploma or equivalent; additional qualifications in office administration or related field is a plus.
  • Proven experience working in an administrative role, preferably in a real estate or similar industry.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications.
  • Excellent communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time efficiently.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Demonstrated ability to work independently and collaboratively within a team.
  • Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.
  • Knowledge of basic office equipment and procedures, including printers, scanners, and fax machines.
  • A positive attitude and willingness to learn new skills and take on additional responsibilities as needed.
