Belknap Plumbing Systems is Hiring a Bid and Administrative Coordinator Near Houston, TX

Full service plumbing and concrete construction company is in need of a Bid and Administrative Coordinator. The company performs plumbing construction, plumbing service for residential and commercial customers and concrete cutting, drilling, demolition and concrete construction throughout the Houston area and surrounding areas. Fast paced and friendly environment with a casual business atmosphere and great benefits. Office is located in the Willowbrook area.

Ideal candidate must have the following skills and capabilities:

  • 2-3 years experience in a similar position with background/experience in construction preferred
  • Bilingual preferred
  • Must have billing experience
  • Must be highly organized, sharp and a motivated self-starter
  • Must maintain great communication
  • Thoroughness – excellent proofreading skills
  • Attention to detail is critical
  • Must be proficient in Quick Books, Microsoft Excel and Microsoft Word
  • Experience using a plotter and scanner is preferred

General Job Description:

Maintain the estimating department for both companies while providing direct support to the project managers during all stages of projects and assist with the daily functions of both companies where needed.

Principal Duties and Responsibilities:

  • Provide organized administrative support for all project managers and supervisors
  • Maintain all invitations to bid, vendor quotes, correspondence, estimates and projects in progress in a highly organized fashion
  • Print, label, record, and distribute plans, as-built drawings, submittals, O&M manuals, and warranties as needed
  • Request and manage vendor quotes for all bidding jobs
  • Request insurance and bonds as needed
  • Prepare and submit all close-out documentation (operations and maintenance (O&M) manuals, warranties,etc) and submittals as needed
  • Assist in pre-construction and post construction documentation and meetings
  • Produce and track contracts and documents for customers as needed
  • Concrete billing daily as requested by PMs; includes AIA progress billing
  • Assist in new Concrete Employee time training and issue PPE
  • Audit Concrete time for Payroll
  • Run monthly ROCIP payroll reporting
  • Set up jobsite trainings
  • Keep Inventory of all Concrete PPE and uniforms
  • Maintain Tool Box Talks for Concrete Department
