Barilla is seeking to hire an Administrative Assistant reporting in to the Leadership Team in our Northbrook, IL office. (Hybrid schedule)
Job Purpose : The Administrative Assistant plays a crucial role in ensuring seamless operations for our leadership team.
You will manage calendars, travel arrangements, and meeting schedules with precision. Additionally, your responsibilities include creating and editing presentations and materials using desktop publishing software, adhering to global guidelines.
Key Responsibilities :
Administrative Support : Maintain and manage the master calendar for the President of the Americas Region and other Vice Presidents.
Coordinate travel arrangements, process invoices, and set up new vendors. Reconcile expenses using Concur. Organize in-person Board and Regional team meetings, outings, and special events, including catering.
Interact professionally with internal and external stakeholders.
Presentation Design : Utilize desktop publishing software (such as Microsoft PowerPoint, Canva, or Google Suite) to create polished presentation materials.
Incorporate multiple datasets into complex presentations.
Buffer and Coordination : Act as a buffer for the President, collaborating with the Administrative team and internal / external parties to minimize interruptions.
Coordinate multiple Leadership Team (LT) schedules efficiently, handling competing priorities with poise and professionalism.
Confidentiality and Cultural Sensitivity : Demonstrate accuracy, diplomacy, and cultural sensitivity while supporting a multi-unit business.
Handle highly confidential / sensitive information with trust and integrity.
Additional Information
High School Diploma or Equivalent required - AA or BA preferred
Desktop publishing experience strongly desired (PowerPoint or similar)
