Bach in Baltimore is Hiring an Administrative Manager Near Baltimore, MD

ORGANIZATION: We are a small non-profit performing arts organization, but the second largest classical music ensemble after the Baltimore Symphony. Maestro T. Herbert Dimmock is its founder and Music Director since 1988. Our choir and board members are all volunteers who share the same passion for Bach. We specialize in performing works by Bach, but we also extend our performances each season to include other classical masters, as well as premieres of new works by local Maryland composers. Bach in Baltimore depends solely on grants, donations and ticket sales to perform all 12 concerts each year.

THE TASK AT HAND: Help us stay organized! The Administrative Manager is required above all to:

  • Manage back of office organization
  • Assist in Concert ticket office and location Organization
  • Assist Music Director and Board of Directors when needed
  • Assist Fundraising teams as needed

DUTIES & RESPONSIBILITIES:

● OFFICE MANAGEMENT

o Management of incoming phone calls: Group Ticket sales/Online ticket issues/ Donor questions that need to be resolved or assistance.
o Mail and email handling: Donor mail-in with thank you letter follow-ups
o Maintenance of personnel rosters (choir, board)
o Maintenance of Donor Lists
o Maintenance of Patron List
o Managing Bios and relations with Guest musicians
==> Direct interface with our Accounts Manager for bills that arrive by mail.
==> Working with the Accounts Manager to keep accurate financial records.
==> Interfacing with our Marketing Manager for the maintenance of patron and donor lists

● CONCERT COORDINATION

o Finding and liaising with concert locations, running our Bachshop at concerts.
o Ensuring each location has materials to promote our concerts and vouchers for free attendance.
o Running off concert notes (Xerox) for each concert
o Managing Concert greeting and ticket sales table at concerts
o Supervising the ticket scanning/Pass and Voucher control

==> Direct interface with our Production Manager for concert set-up and location interface
==> Direct interface with Musical Director for concert notes

● BOARD MEETINGS & BOARD OF DIRECTORS

o Organize agenda, attend and write minutes
o Assist Directors as needed.

● FUNDRAISING

o Preparation of annual reports such as: 990, report to the Baker Foundation, MD Cultural Alliance, Good Standing report of the State of Maryland, fill out annual grants that exist already with Music Director’s help
o Assist Event’s committee with fundraiser events

SKILLS & ABILITIES:

  • Flexibility to work on other tasks as requested by the Board of Directors
  • Self-motivated, organized, proactive and able to multitask.
  • Excellent communicator with ability to work with diverse groups of people.
  • Able to partner on projects with internal members and external vendors.
  • Professional presentation and communication skills (written and oral), for external & internal audiences.
  • Positive attitude toward one’s work and work ethic
  • Previous experience in the performing arts and/or non-profit world a plus but not required.
  • Proficient in MS Office Suite and Google Drive

COMPENSATION: FlexiblePart-time independent contractor can work remotely (within Greater Baltimore) requiring some onsite presence for meetings, concerts and events; due to the varying nature of the organization's activity, the time required is estimated at approximately 10 to 15 Hours per week (subject to project load), at a rate of $25/hour.
