Reynolds Services, Inc. is Hiring an Administrative Specialist Near Baltimore, MD

Production:

· Collect, review, and process all paperwork from production, HFI, shipments and receiving

· Pull up in inventory and ticketing production from day before and current morning, enter the rest of the production from afternoon and day turn shifts that hasn't been entered into inventory.

· Send accounting all packing slips for billing of domestic orders / material.

· Enter production in inventory and make sure they match, and nothing was missed during entering.

· Add up production columns to make sure they match and calculation weight they got from the coils.

· Double check carryover sheets to make sure they are correct including adding up all the rejects for each coil for the order and make sure it equals the final sheet count on the bundle.

· Pull up coils from production in inventory and perform an audit of all tasks to make sure they were marked removed and/or RTS was done if it was returned and not ran completely.

· Check production with coil ticket and bundle tags from the line make sure they match, and nothing is missing. Make sure there is no duplicate tickets, and the weight and sheet counts are correct.

· Separate RSI and toll production, put price on RSI productions per order from order book and complete all internal tasks as needed.

· Check HFI tickets to ensure they have the correct beginning sheet count and weight. Audit all tickets and paperwork to ensure data matches between tickets and paperwork.

· Answer telephone, assist visitors, filing and mail distribution.

· Maintains office supplies inventory.

· Update inventory information for HFI material including correcting any pricing. If there are any discrepancies this must be noted for the following business daily balancing.

Shipments: (Act as backup for this role)

· Check packing slips to make sure attached to the correct load writeups

· Separate deletes from change locations making sure all locations are corrected in the system

· Separate RSI deletes from toll deletes and distribute accordingly

· Create BOL’s for coil transfers for inventory moving between campus facilities

Receiving: (Act as backup for this role)

· Enter all receivers into the FileMaker system for all facilities

· Calculate freight per receiver and document that information in PO book

· Enter cost and freight into FileMaker for RSI coils; print and provide A/P report to match information to mill and freight invoices

· Create backup for toll receivers, email copy to customer and create copy to attach to production

· Scan all receivers and upload information to back tab in receiving file for each receiver; keep copy for documentation

· Check backups for receivers entered from RSI and Tinstar and ensure accuracy of information, correct what is needed

Field Claims: (Act as backup for this role)

· Enter all information for Field claim spreadsheets and / or claim sheet for mills and report back what was received in. Send information to contact for invoicing.

· Put information in accounting spreadsheet for appropriate mills to mark off with invoice # 's and dates invoiced to keep track of what is left to be invoiced for month end.

Administrative:

· Maintain inventory of office supplies and order as needed for the facility

· Answer visitors’ questions, call, and emails, and provide them with the needed information.

· Sign for deliveries and ensure all mail and packages are distributed accordingly.

Knowledge, Skills and Abilities:

· Ability to work both independently and collaboratively within a team environment

· Ability to work with all levels of personnel within RSI and other organizations

· Ability to maintain strict confidentiality

· Possesses excellent organizational, prioritization, communication, and interpersonal skills

· Exercises problem solving skills to handle difficult and/or unusual situations

· Requires high level of accuracy and attention to detail

· Possess excellent judgment skills

Job Type: Full-time

Pay: From $18.00 per hour

Expected hours: 40 per week
