The Volunteer Connection Coordinator’s role is critical in identifying organizational needs for volunteers, recruiting them, and placing them in key roles that will provide the most impact for both the volunteer and organization.

Essential Duties And Responsibilities

Identification of Organizational Needs:

  • Build relationships and coordinate with key staff teams to understand current services, client needs, program needs and how volunteers could support their work.
  • Works with Director to lead Annual Needs Assessment process with each team to prioritize highest potential needs for volunteers
  • Partners with each department to build job descriptions and training materials required for each volunteer role
  • Creates service level agreements to define and assign responsibilities of the Volunteer Team and the receiving department to ensure a seamless experience for volunteer
  • Partners with Donation Center to understand In-Kind needs and processes

Volunteer Recruitment and Communication:

  • Respond to incoming volunteer inquiries (contact forms, voice messages, and email) in a timely manner (standard: within 72 hours)
  • Facilitates informational sessions to educate prospective volunteers about Atlanta Mission’s mission and work and to highlight opportunities to serve across the organization.
  • Assists volunteers in establishing accounts on the Volunteer Management System.
  • Helps volunteers navigate the registration process as well as the pre-requisites that may be required for certain client-facing roles (e.g., background check screening for childcare)
  • Matches volunteers with opportunities that best fit the needs of the organization and the interests/ availability of the volunteers.
  • Communicates with volunteers prior to serve opportunity to ensure they are equipped with information needed to serve (e.g., parking, directions)
  • Provides seamless communication and handoff of volunteers to other members of the Volunteer Team or receiving department
  • Logs volunteer communication/engagement in Volunteer and Donor Management Systems

Volunteer Management System (VMS) Training and Maintenance:

  • Responsible for Volunteer Management System including system maintenance and enhancements.
  • Maintains and updates current list of volunteer recruitment postings including the addition, deletion and edits of posted opportunities.
  • Promotes the use of the VMS for the tracking and assignment of volunteers.
  • Point of contact for VMS training for both staff and volunteers.
  • Builds and executes process to gather feedback and evaluate volunteer experience to drive continuous improvement.

Standardized Tracking and Reporting:

  • Builds accurate reporting of weekly volunteer rosters and reports; ensures timely distribution to volunteer team and campus leads.
  • Responsible for tracking and reporting of volunteer hours and activities, as well as In-Kind reporting.
  • Maintains records and standardized policies for volunteers.

Other responsibilities:

  • Builds a support team of volunteers to assist with job responsibilities.
  • Occasionally serve as volunteer host to support team during heavy volunteer seasons.
  • Support large volunteer events (e.g, 5K, Fall Fest).

Position Requirements:

  • Strong computer literacy in MS Office with concentration in Excel and PowerPoint
  • Experience working in a volunteer management system, VolunteerHub or similar, preferred.
  • Strong written and oral communication skills with strong attention to detail
  • Self-motivation and ability to work collaboratively with a team
  • Strong project management skills and the ability to organize, multitask and prioritize a heavy workload

Physical Job Requirements:

  • Must have the ability to remain in a stationary position (standing, sitting and/or walking)
  • Must have the ability to constantly operate a computer and other office equipment, such as a copy machine, calculator and computer printer
  • Must be able to communicate accurate information
  • Must be able to occasionally lift up to 20lbs
