Job Description:
We are looking for a diligent and professional Property Management and Real Estate Assistant to join our team. The ideal candidate will have experience in property management and be well-versed in real estate procedures. however experience is not required we can train The primary responsibilities include managing properties, handling administrative tasks, and engaging in real estate assistance activities.
Responsibilities:
Office Management and Administrative Support:
- Manage records and information, ensuring that all documents are accurately filed and are easily accessible for the team.
- Plan and maintain work facilities to ensure a productive working environment.
- Diligently follow up on all tasks using the company’s CRM softwares.
- Provide administrative assistance to the management team, including scheduling meetings, preparing reports, and organizing files.
- Encourage and improve cross-department internal communication through regular meetings, newsletters, and inter-departmental collaborations.
- Replenish office supplies, and ensure that the team has the materials needed to perform their tasks.
- Efficiently distribute mail within the office and handle any custodial duties to maintain office cleanliness.
- Coordinate with the IT department to ensure proper functioning of office equipment and software.
- Liaise with vendors and contractors, ensuring all maintenance and repair works are carried out timely and effectively.
- Assist in the onboarding process of new employees, including arranging their workspace and acquainting them with company procedures.
- Prepare and maintain budget reports, and assist in the allocation of funds for office resources.
- Organize and participate in company events, such as team-building activities or workshops, to foster a positive work culture.
- Handle rental activities, including property showings, cleanings, tenant inquiries, and facilitating move-ins and move-outs
- Continuously strive to streamline office processes for better efficiency.
- Proactively offer support in ad-hoc projects and initiatives as required.
- Attend Varies Homeowners Association (HOA) for submitting the required documents.
- Host open houses, ensuring all marketing materials are available and the property is presented in the best light.
- Engage in marketing activities, including social media campaigns, email marketing, and phone calls to prospective clients.
- Assist in document preparation and ensure that all real estate transactions comply with legal requirements.
- Provide excellent customer service, and address any concerns or issues from clients in a timely manner.
- Host open houses, ensuring all marketing materials are available and the property is presented in the best light.
- Attend Varies Homeowners Association (HOA) for submitting the required documents.
- Ensure proper record keeping and filing of contracts and agreements.
- Facilitate regular maintenance of office equipment, such as printers and scanners.
- Coordinate travel arrangements for the management team when necessary.
- Must maintain a positive attitude at all times, be open-minded, coachable, energetic, passionate, and must be punctual and prepared, always willing to go the extra mile.
- Manage a growing portfolio of 10 homes, ensuring high levels of customer satisfaction and property maintenance.
- Collect mails from each property address every Monday and Thursday, and scan them into the respective client folders.
Oversee maintenance of each house, which includes but not limited to:
i. Landscaping
ii. Pool maintenance
iii. Pest control
iv. Utility management
Qualifications:
1. A minimum of 2 years experience preferred in property management or real estate.
2. Possess a valid real estate license or property management certification (preferred).
3. Proficient in using CRM software and other standard office software and tools.
4. (must have) Excellent organizational skills and the ability to multitask effectively.
5. (must have) Strong communication skills, both verbal and written.
6. (must have) Ability to work independently and as part of a team.
7. (must have) Must have a valid driver's license and reliable transportation.
8. (must have) Demonstrated problem-solving skills and the ability to handle sensitive information with discretion.
9. (must have) Proactive attitude and the ability to anticipate the needs of clients and team members.
10.(must have) Flexibility to work outside regular business hours as needed, including weekends.
11. Previous experience in administrative services or other related fields.
12. (must have) Ability to prioritize and multitask efficiently.
13. (must have) Strong organizational skills and attention to detail.
14. (must have) Deadline and detail-oriented.
15. Strong leadership qualities and the ability to work effectively with a team.
16.(must have) A good attitude with an open mind to be coachable, energetic, passionate.
17. (must have) Punctuality and preparedness are essential.
18. (must have) Willingness to take on additional responsibilities and go the extra mile.
