Position is located at 100 SE Frank Phillips Blvd. in Bartlesville, Oklahoma.

Position is Monday through Friday 8 am to 5 pm with the ability to work additional hours as needed.

Summary:

SUMMARY: Under general supervision, the Trust Administrative Assistant 2 is responsible for providing administrative services to the less complex yet high level clients, which includes setting up new accounts on the trust systems and obtaining and maintaining legal documentation; communicating with clients to ensure all account activity is received and processed timely; assisting with the resolution of inquiries and problems concerning account transactions.

ESSENTIAL DUTIES and RESPONSIBILITIES include the following. Other duties may be assigned.

  • Interacts daily with internal and external contacts to ensure all account activity such as payments and requests from clients are processed timely; deposits, distributions, wire transfer, DDA transfer and receipts are processed timely; ensures adequate cash positions in accounts, if not, brings condition to the attention of the trust specialist.
  • Assists Trust Specialist and clients with problem resolution and/or account maintenance and the day-to-day operational issues regarding the various transactions by performing research and serving as liaison between trust operations and Trust Specialist and/or client.
  • Assists Trust Specialist in meeting clients’ reporting needs. Also assists Trust Specialist in responding to clients’ inquiries regarding statements and reports.
  • Review previous day’s transactions for overdrafts, spelling errors, approved transactions, etc.
  • Coordinates transition of new accounts including organizing transfer of assets, receipting for assets and ensuring all assets are transferred properly; sets up new accounts and arranges appropriate reporting. Also coordinates disposition of assets for closed accounts.
  • Performs routine administrative activities, which includes answering phone calls promptly and accurately; open and sort incoming mail in a timely manner; staying current on imaging and filing, working with various vendors, i.e. lawn service, caretakers, etc. to coordinate projects and various special projects as assigned.
  • Assist Trust Specialist in handling of special assets including personal and rental property.
  • Prepare monthly account review packets for the trust specialist to complete.
  • Input trust specialist call information into the Advisor system.
  • Understand and comply with bank policy, laws, regulations, and the bank’s BSA/AML Program, as applicable to your job duties. This includes but is not limited to; complete compliance training and adhere to internal procedures and controls; report any known violations of compliance policy, laws, or regulations and report any suspicious customer and/or account activity.

EDUCATION and/or EXPERIENCE:

  • Associates Degree in Business or related field or equivalent work experience required.
  • 1 year of trust or investment or bank administrative support work required.
  • Basic knowledge of Bank’s products and services required.
  • Completion of Personal Trust Curriculum Level 1 ABA e-training courses within 12 months of employment required.
  • Basic knowledge of fiduciary management techniques preferred.
