Position Overview

Arnold Ventures is seeking a client service focused Director of Office Services who has experience building and leading high functioning, positive teams of administrative staff members and has the ability to design and implement business strategies, plans, and procedures to enhance productivity and operational success.

The Director of Office Services will ensure that Arnold Venture's Administration and Facilities team is providing robust, thoughtful, and proactive service to our leadership and organization. This is an in-person, onsite role that will be based in either the Houston, TX or Washington, D.C. office.

Core Responsibilities

  • Provide day-to-day people management of office managers and executive assistants
  • Establish, maintain, and adapt teamwork rhythms across a geographically distributed team that encourages consistency, collaboration, execution, and effectiveness
  • Foster a collaborative environment by actively promoting open communication, trust, and respect among team members
  • Establish clear standards, goals, roles, and expectations within the team, ensuring alignment with organizational objectives. Foster a sense of accountability among team members, encouraging ownership of tasks and promoting a results-driven approach to achieve collective goals
  • Oversee the development and maintenance of administrative operating procedures
  • Partner with the People and Culture team to identify staffing needs, recruit, onboard, develop learning and growth opportunities, and prepare performance evaluations for members of the Administration team
  • Identify individual strengths and areas for development among team members, and provide mentorship, coaching, and support to maximize performance and promote professional growth
  • Plan and monitor relevant budgets, and oversee procurement, resource allocation, and inventory system across the three Arnold Ventures offices
  • Day-to-day project management of facility needs, including construction, design, and buildout-related items across the three Arnold Ventures' offices
  • Day-to-day management of physical and operational security needs
  • Occasionally lead or contribute to organization-wide event planning, teambuilding activities, and special projects
  • Perform administrative duties as needed and in support of the team, which may include receiving guests; organizing meetings, appointments, and travel arrangements; managing conference room calendars; filing; preparing expense reports; and assisting with incoming and outgoing mail and deliveries
  • Quarterly travel to other Arnold Ventures' offices

Requirements
  • Bachelor's degree required
  • 10 years of relevant experience as an operations manager, facilities manager, department administrator, or other relevant role supporting mid-size organizations (100 employees)
  • Exceptional team builder, people, and project manager with extraordinary organizational skills
  • Exercises the utmost discretion and maintains the confidentiality of highly sensitive materials with tact and professionalism
  • Excellent oral and written communication and negotiation skills
  • Ability to work independently and as part of a team
  • Proficient in Word, Excel, PowerPoint, Adobe Acrobat, and other standard computer programs
